Description About us: Catering and Event Services is a part of the campus Food Services organization, providing a wide range of affordable, sustainable, and nutritious food options to our community through excellent service, commitment to our environment and celebration of food to reflect our diverse community. The Catering and Event Services department is responsible for The Conference Centre, St. George Catering, and Campus Beverage Services. Providing food, beverage, and event services to groups from 5 to 2500.
Your Opportunity Under the direction of the Catering Manager, the Catering Events Coordinator is the primary point of contact for our event clients. They are responsible for assisting clients in arranging food, beverage, and equipment to satisfy their event needs. Working closely with the Senior Catering Supervisor, and the culinary leadership team, the Catering Events Coordinator is part of a highly collaborative team taskedwith delivering great event experiences for groups from 5 to 1000 people. Responsibilities include assisting and directing clients, while providing a high level of customer service. Duties include: analyzing client needs and making recommendations on event logistics and options, overseeing the implementation of event plans and activities, preparing service contracts and invoices using templates, conducting post-event evaluation, analysis and recommendations for changes, and calling targeted potential clients to generate sales leads through the promotion of event services.
Your Responsibilities Will Include
- Building and strengthening relationships with stakeholders and partners of strategic importance
- Conceptualizing, organizing and executing events and activities
- Working with the Catering Manager and the culinary leadership team to develop accurate cost estimates for clients
- Liaising with clients and vendors to resolve minor complaints and address issues
- Calling targeted potential clients to generate sales leads through the promotion of event services
- Conducting post-event evaluation, analysis and recommendations for changes
- Processing and issuing invoices and verifying that supporting documentation is attached to financial records before processing
- Analyzing administrative processes and procedures and recommending changes for improvement
Essential Qualifications
- Bachelor's Degree, preferably in hospitality or event management, or equivalent combination of education and experience in the hospitality industry.
- Minimum three (3) years in an event services role or comparable environment
- Two (2) years of experience working with catering management software and demonstrated ability to learn new software applications
- Demonstrated ability to work with and relate to students, staff and a wide variety of professional groups
- Strong communication and interpersonal skills, including the ability to communicate effectively across many mediums (email, phone, verbal)
- Ability to multitask, prioritize work, meet strict deadlines and work under pressure
- Intermediate computer skills relating to Microsoft Office (Word, Excel, Outlook, Teams)
Assets (Nonessential)
- Experience using catering management software such as Catertrax, or Hospitality Hub (Sabretooth)
