Job Summary Reporting to the Project Manager, the Project Coordinator supports the planning, execution, and closeout of construction projects to ensure work is delivered safely, on schedule, within scope, and on budget. This role coordinates field operations, documentation, scheduling, and stakeholder communication while proactively identifying risks, constructability concerns, and cost impacts.

Responsibilities Project Planning & Mobilization

  • Prepare complete job packages for scheduling and mobilization, ensuring all permits, locates, drawings, and resources are obtained.
  • Submit and maintain valid utility locate requests; review documentation and site markings to identify conflicts prior to scheduled work.
  • Obtain and document overhead wire clearances and utility information before work begins.
  • Conduct site investigations to identify constructability issues, constraints, and safety risks.

Field Coordination & Execution Support

  • Liaise with Foremen and internal teams to support work planning, handoffs, and progress tracking.
  • Attend site meetings and coordinate with clients, utilities, and subcontractors as required.
  • Support concurrent management of multiple active projects and schedules.

Documentation & Contract Administration

  • Review contract drawings, specifications, and tenders to understand scope requirements.
  • Produce summary sketches to define work scope and support change management.
  • Maintain accurate document control, ensuring current revisions are used and project files are up to date
  • Prepare RFIs, change documentation, and support materials for Project Manager review.

Cost & Progress Tracking

  • Create subcodes and track quantities for forecasting and productivity analysis.
  • Update completed quantities daily and ensure weekly reporting accuracy.
  • Assist in preparing payment certificates and monitor installed quantities against contract values.
  • Support pricing and cost analysis for extra work and change orders.

Quality & Risk Management

  • Identify and escalate deficiencies in workmanship or materials.
  • Assist in claims preparation and provide documentation supporting entitlement and schedule impacts.

Safety & Compliance

  • Participate in safety inspections and review Field Level Hazard Assessments (FLHAs).
  • Maintain logs related to temporary construction barriers and asset utilization.

Qualifications Required

  • Diploma or Degree in Civil Engineering, Construction Management, or related discipline.
  • Minimum 1 year of construction experience (including co-op or internships).
  • Strong organizational, communication, coordination, and problem-solving skills.
  • Organized, flexible and adaptable to changing business conditions in a fast-past work environment.
  • Demonstrated time management, scheduling, and negotiations skills.
  • Strong computer skills with ability to learn and maintain skillset with new technology platforms.
  • Valid G Driver’s License with clean driving record.
  • Ability to work occasional evenings or weekends based on operational needs.

Preferred (Assets)

  • Experience in a Project Coordinator role within road or infrastructure projects.
  • Knowledge of Canadian construction regulations and labour requirements.
  • Exposure to MTO or similar transportation projects.
  • Supervisory or field leadership experience.
