Responsibilities

Note that this role is for the summer months only (May to the end of August) - in-person is required on May 4th and 5th.

The Front Desk Assistant position will provide support to Western’s Summer Accommodation operation currently located at Ontario Hall. The incumbent will be responsible for administrative duties including but not limited to: generating accurate housekeeping and vacancy reports, responding to a large number of inquiries, processing and updating reservations, checking in/out guests and processing payments and balancing a cashier audit daily. The incumbent will maintain a friendly and professional demeanor while dealing with customer complaints, challenging customers and ensuring the best possible customer service experience for all guests.

Qualifications

Education:

  • 2-year College Diploma, preferably in Office Administration

Experience:

  • 3 years customer service experience
  • Previous experience as a Residence Clerk is preferred

Experience, Skills & Expertise:

  • Excellent verbal and written communication skills and confidence dealing with residents, guests, parents, etc.
  • Proven ability and natural inclination to interact with people in a professional, respectful and diplomatic manner
  • Strong customer service skills to handle enquiries and resolve issues in a timely manner
  • Possesses a reputation of resourcefulness with a strong sense of accountability and initiative
  • Ability to work well under pressure and use good judgment in assessing difficult situations
  • Ability to handle multiple conflicting priorities in a fast-paced environment with frequent interruptions
  • As the Front Desk Assistant works in a location that is staffed 24/7, the ability to consistently work the assigned shifts is required - this includes the ability to share weekends and night shifts
  • Requires ability to troubleshoot and balance a cashier audit daily
  • Intermediate level skill set with Windows and Microsoft Office (Word, Excel, Outlook).
  • Experience with card access systems is preferred
  • Hotel experience is an asset
