This role is required to be on-site. This individual contributor role will provide clerical support to the site Operations Manager for financial and safety data records management.
What you will do:
- Maintain employee safety training history and safety certification records in a complete and an accurate manner. Notify manager of pending expirations for appropriate follow-up.
- Routinely perform inspections of fire extinguishers and eye washing stations, ensuring that equipment is accessible, operable, and free from damage.
- Conduct housekeeping audits to foster safe working conditions.
- Stock Personal Protective Equipment (PPE) and process replenishment orders as needed.
- Assist in the preparation of forms and reports in the event of workplace accidents.
- Ensure contract and equipment files are organized, complete, and up to date.
- Greet customers and site guests with exceptional customer, ensuring visits are managed effectively.
- As directed, coordinate logistics and scheduling of site meetings and special events.
- Accurately input invoice data for timely processing,
- Collaborate with colleagues regarding accounts payable/receivable items to obtain correct information for shipping documentation, purchase orders, and related paperwork.
- Accurately code submissions to accounts payable and take steps to resolve any issues that may arise.
- Reconcile purchase orders/requisitions with receipts, tracking status of purchases and assist in troubleshooting issues.
- Actively maintain posting of production status boards and miscellaneous notices for the facility.
- Oversee office supply inventory, processing orders with necessary approvals and approved vendors.
- Serve as the primary contact for office equipment repairs and replacement.
- Embrace a safey-mindset, committing to safe work practices through Key Daily Actions.
- Demonstrate willingness and enthusiasm to complete additional tasks to meet business objectives.
What you will bring:
- A High School Diploma or equivalent certificate is required.
- Proven capability to effectively use Microsoft Excel, Word, and Outlook tools.
- Skilled in recording and managing accurate detailed data and information.
- High adaptability to work effectively in a fast-paced environment with competing demands.
- Ability to prioritize tasks appropriately and adjust importance as needed.
- Enthusiasm for utilizing technology to streamline operations.
- Previous experience with SAP software is an asset.
- Prior bookkeeping or clerical experience is preferred.
