SALARY RANGE: $59,000 - $64,000 per annum

POSITION SUMMARY
UHN Foundation is seeking a Gifts Administrator to join the Gifts & Records Administration team. This role is responsible for ensuring the accuracy and integrity of donor and gift information for assigned portfolios by creating, updating, and maintaining database records, in alignment with Foundation policies and CRA requirements. The position supports gift processing and receipting, document administration, and the maintenance of systems, tools, and data used across the Foundation.
KEY RESPONSIBILITIES
- For assigned portfolios, create and update donor and gift records in accordance with donor intent, Foundation policies, best practice coding standards and CRA receipting requirements.
- Track and process information within established timelines to maintain accuracy, completeness, and workflow efficiency.
- Ensure confidentiality and compliance with data governance standards.
- Maintain digital filing systems in accordance with established procedures.
- Prepare reports, documents, and correspondence using Microsoft 365, Raiser’s Edge NXT, and related tools.
- Support the development and refinement of tools, templates, and documentation that enhance administrative and data entry processes.
- Support the processing and administrative needs of other portfolios, as required.
QUALIFICATIONS & EXPERIENCE
- 3+ years of experience working with donor databases and gift processing in a fundraising organization, or equivalent experience.
- Experience using Raiser’s Edge NXT strongly preferred.
- Proficiency in the full suite of Microsoft Office 365 applications.
- PaperSave experience an asset.
- Knowledge of data privacy laws and fundraising professional standards and ethics.
KEY COMPETANCIES FOR SUCCESS
- Exceptional attention to detail with a high level of accuracy, organization skills, and time management.
- Ability to work collaboratively with team members across shared job functions, as well as independently.
- Demonstrated initiative, curiosity, eagerness to learn, and strong communication skills.
- Ease in learning new platforms and systems as required.
- Knowledge of data privacy laws, fundraising professional standards and ethics.
- Professionalism, strong interpersonal skills, and a consistently positive attitude.
- Shared commitment and support of the overall Foundation goals.
WORK ENVIRONMENT
- Fast-paced, service and results oriented environment
- May have some activity outside of the office to support meetings
- The Foundation has a hybrid work model. Staff will be required to be in office a minimum of 2 days per week and will be required to have a safe home office set up for the remainder of the working days (specifics to be planned with your manager).
- Possibility for occasional evenings and weekends during peak seasons.
- Ability to work cooperatively with colleagues in all positions throughout the Foundation
- Shared commitment and support of the overall Foundation goals
