The Position
Reporting to the Manager, Advancement Services, this position is a combination of customer service – a frontline resource for donors of the Foundation and internal staff – and administrative duties.
Primary responsibilities of the Advancement Services Clerk include:
Interacting directly with our donors, most commonly over the phone, to receive donations, verify donor information, and answer enquiries
Handling and triaging phone calls, as well as completing donor requests
Sorting, triaging and opening incoming mail
Preparing outgoing mail: folding, stuffing, sealing and stamping mail both manually and using a mail machine
Produce and proof-read official income tax receipts and acknowledgment receipts, as well as letters for sending to donors using Word merge templates and other available technology
Scanning, attaching, filing or confidentially shredding documents and maintaining archives
Keeping inventory and restocking stationery supplies
Organizing and optimizing storage spaces
Specific data entry, data cleanup and database maintenance assignments
Providing assistance with cross-training Advancement Services staff
Contributing ideas in team discussions and providing feedback regarding process improvement
Assisting with greeting visitors, determine nature of business and direct visitors to the appropriate person, as needed
Maintaining up-to-date knowledge of PCI compliance and how it applies to gift processing; following due process when processing gifts

Ability to work in a fast-paced and rapidly changing environment
Displays compassion, sensitivity, confidentiality and mature judgment skills
Demonstrated ability to work independently and take initiative, when required and appropriate
Ability to work effectively and collaboratively within a dynamic team setting and be considered a team player
Strong administrative skills, attention to detail and accuracy
Computer skills: demonstrated competence in computer software such as Microsoft Office Suite (i.e. Word, Excel and Outlook)
Comfortable with technology as the position requires use of different software platforms and applications, such as: Asana, PaperSave, Slack, Luminate Online, Zoom, Teams, etc.
Experience with Raiser’s Edge or another customer relationship management system an asset
The Qualifications
Two years’ related experience in administration, preferably working within fundraising, or an equivalent combination of education, training and experience.
Salary Range : $50,000 - $53,500
