As the Associate, Ordering (Out of Stock, Upfit), you will be responsible for managing vehicle and equipment orders when factory options are unavailable, ensuring timely fulfillment through dealer stock and upfit coordination. This role partners with clients, dealers, and internal teams to oversee transactions, documentation, and delivery while providing consultative support. With strong problem-solving and customer service skills, the Associate ensures accurate, efficient, and cost-effective ordering solutions that align with client business needs.

A Day in the Life

  • Serve as the primary point of contact for vehicle and equipment orders (including stock, upfit, and non-standard assets)
  • Secure dealer stock inventory and coordinate upfit and delivery as needed
  • Manage workflow from order initiation through delivery and billing activation
  • Collaborate with fleet managers, dealers, and internal stakeholders to ensure timely and accurate fulfillment
  • Receive, review, and audit payable documents from suppliers, stakeholders, and clients, including sensitive financial details
  • Ensure accuracy and completeness of invoices in preparation for payment
  • Provide guidance to dealers and suppliers on efficient payment methods, invoice corrections, and transaction closures
  • Actively align payment processes with client and Element standards
  • Provide consultative support to clients, dealers, and suppliers throughout the ordering process
  • Support departmental initiatives focused on improving ordering and acquisition practices

Requirements

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in Business, Supply Chain, or related field preferred
  • 2 – 3 years of customer service, order management, or administrative experience
  • Experience in automotive, leasing, or fleet management industry preferred
  • Excellent communication skills
  • Strong multi-tasking, prioritization, and organizational abilities
  • Proficiency in MS suite including Word, Excel, PowerPoint, and Outlook
  • Makes daily decisions on ordering processing, documentation accuracy, and payment alignment that directly impact client satisfaction and financial outcomes
  • Contributions support timely vehicle/equipment delivery, accurate invoicing, and achievement of service quality goals
  • Works independently with minimal supervision, adjusting approach as needed to meet client and departmental needs
  • Exercises authority in advising suppliers and dealers on corrections, payment methods, and documentation requirements
  • Applies problem-solving skills to streamline workflows, resolve transaction delays, and improve process efficiency
  • Collaborates with internal teams and external partners to address complex order-related challenges and deliver client-focused solutions
  • Customer-centric mindset, maintaining professionalism in all interactions

The hiring base salary range for this position is $51,800 to $71,200 annually. Actual compensation within this range will be dependent upon the individual’s knowledge, skills, experience, equity with other team members, and alignment with market data. Please note that the disclosed salary range is solely for candidates hired to perform work within this geographic location. Candidates hired to work in other locations will be subject to the pay range associated with that location.
