Posting Period: September 26, 2025 - October 5, 2025 As a member of the inter-professional team and under the direction of the Team Manager, the Community Mental Health Secretary will be the first point of contact and act as a resource for clients, families and external agencies. In addition, the Community Mental Health Secretary will maintain the information system for the team in compliance with Patient Records & Registration Services procedures. The Community Mental Health Secretary will provide all secretarial support for team operations and the clinical work of the program.
Kingston is a designated area under the French Language Services Act. Accordingly, the position of Community Mental Health Secretary has been identified as a role in which Providence Care must offer services to the public in French as well as English. Therefore, each Secretary vacancy will be evaluated to determine whether Providence Care is meeting our obligations to provide related services in French and job postings will be identified as requiring or preferring French Language proficiency accordingly.
Skills And Qualifications Required
- Office Administration Diploma/Certificate or related field; equivalent combination of education, training and experience will be considered
- Evidence of successful completion of a standard Medical terminology course
- Two years of office/administrative experience, preferably in a mental health care setting
- Current First Aid and CPR, or willingness to obtain
Position Responsibilities
- Ensures that the client and related clinical work receives the highest priority\
- Receives and processes referrals to the Program according to program policy
- Mails correspondence and enters pre-registration data in to the system; closes chart upon discharge
- Types letters, minutes, referrals and any other written documentation as required by the team members
- Provides receptionist duties, in adherence with relevant privacy legislation, which include: answering phones and greeting individuals; coordinating communication between the team and clients; obtaining and sharing routine information for clients, family members, community resources and agencies; referring information relating to client behaviours/interactions that are out of the ordinary to appropriate team members; and determining when and how quickly to refer calls and/or more complex issues to other team members
- Prepares client charts for meetings and ensures their safe storage and retrieval
- Types and/or transcribes, from hand written materials and/or dictaphone, letters, correspondence, clinical notes, memoranda, reports, expense accounts, etc., ensuring accuracy, acceptability of format, signatures, addresses, and inclusion of appropriate material etc.
- Documents, transcribes and distributes meeting minutes
