Role Description:

The Coordinator, Commercial provides support to the Senior Vice President (SVP), Commercial and the larger Office & Industrial team. Working closely with the SVP and other members of the National team, the Coordinator demonstrates a strong ability to be organized and professional and plays a vital role in ensuring a high level of communication within the Commercial Operations team on behalf of the SVP, Commercial. This role is a 16-month contract position.

Responsibilities:

  • Providing direct administrative support to the Senior Vice President, Commercial and other members of the Commercial team.
  • Maintaining the SVP’s calendar, including scheduling meetings and conference calls, preparation of meeting materials and related tasks.
  • Assist in the preparation of presentations, memorandums, correspondence and reports on behalf of the SVP by identifying required information, researching background information, and gathering it from appropriate sources.
  • Coordination of travel arrangements for the SVP and other team members as required, including preparation and submitting of expenses. Documentation and management of meeting outcomes.
  • Liaise with the Office & Industrial team and external agencies on key and emerging priorities.
  • Coordinate administrative responsibilities for team and Operational Excellence initiatives – track progress, coordinate meetings and gathering of information, write SOPs to support etc.
  • Plan events and large meetings, including appropriate layout of rooms, seating arrangements, dinner menus, invitations, etc.
  • Attend, minute and distribute materials for scheduled management meetings.
  • Read and understand leases to support the SVP and other team members in responding to tenant questions.
  • Coding invoices, expense reports, and corporate credit card expenses.
  • Establish a consistent approach to parking operations. Review parking reports on national level and consolidate parking numbers monthly in parking report.

Experience and Qualifications:

  • Experience - Minimum 5 years property management experience in commercial portfolios, with a focus on Class A office properties.
  • Ability to use initiative and self-managing skills to work independently with minimal direction and respond effectively to issues that arise.
  • Ability to effectively collaborate with all levels of the business and develop / sustain cooperative working relationships with internal staff, vendors and external contacts. Adapt to different communication styles.

The expected annualized base salary range for this role is $60,000-$65,000.
