Job Description

The Manager, Workplace Experience is responsible for overseeing the end-to-end operations of CPP Investments’ Toronto and New York offices, ensuring it aligns with the organization’s strategic, operational, and workplace experience objectives. This leadership role balances day-to-day workplace execution with long-term planning and continuous improvement across physical infrastructure, service delivery, financial stewardship, and cross-functional collaboration.

As a key member of the Global Corporate Services team, the Manager partners closely with business leaders, internal support functions, and a team of workplace professionals to deliver an inspiring and high-performing workplace environment. The role also ensures Toronto and New York operations meet business continuity, emergency preparedness, and regulatory requirements, while promoting cost-efficiency and service and hospitality excellence.

Key Accountabilities:

Operational & Facility Management

  • Lead all aspects of daily workplace operations across CPP Investments’ Toronto and New York premises.
  • Deliver a welcoming, functional, and productive work environment that meets the evolving needs of a hybrid and dynamic workforce.
  • Ensure reliable delivery of essential services such as reception, guest services, mail and courier, housekeeping, and workspace support.
  • Oversee facilities management (mechanical, electrical, HVAC, plumbing) with strong preventative and reactive maintenance protocols.
  • Ensure power-down procedures, emergency access controls, and physical maintenance of critical IT spaces are performed in line with governance protocols.
  • Contribute to CPP Investments’ sustainability goals by managing programs that support energy efficiency and waste reduction.
  • Represent CPP Investments with external partners such as property managers, contractors, and peer tenants.

People Management & Culture

  • Lead, coach, and develop a team of workplace professionals, fostering a culture of service excellence, accountability, and collaboration.
  • Provide hands-on support and leadership during high-volume or resource-constrained periods.
  • Partner with Talent and TechBar to ensure smooth onboarding, offboarding, and internal moves via ServiceNow and FMS processes.

Space Planning & Strategy

  • Manage space allocation, seating plans, office moves, and reconfigurations to support business unit growth, engagement, and collaboration.
  • Support execution of Toronto and New York-based projects in collaboration with the Director, Workplace Experience and the Strategic Planning & Projects team.

Financial Oversight

  • Prepare, manage, and monitor annual operating and capital budgets.
  • Track actuals vs. budget, prepare monthly variance reports, and assist with quarterly forecasts.
  • Review and approve expenditures and contracts in compliance with CPP Investments’ Business Management Authorities.

Vendor & Contract Management

  • Source, evaluate, and negotiate with vendors and service providers.
  • Establish clear SLAs, KPIs, and performance metrics for vendors and monitor compliance, cost-effectiveness, and innovation.
  • Ensure ongoing contract management and periodic reviews to maintain high service standards.

Performance Metrics & Reporting

  • Develop and maintain workplace KPIs and operational dashboards.
  • Track service ticket metrics (via ServiceNow), occupancy data, space efficiency, and budget performance.
  • Deliver monthly operational reports to the Director, Workplace Experience, providing insights to support strategic planning.

Compliance, Risk & Sustainability

  • Ensure Toronto and New York workplace operations are compliant with corporate policies, health and safety regulations, and business continuity standards.

Qualifications

  • Post-secondary degree or diploma in Facilities Management (CFM, FMP, SFP, RPA, FMA), Business Administration, Hospitality, or a related field; equivalent experience is considered an asset.

  • Change management experience is considered an asset.

  • Minimum of 6–8 years of progressive experience in facilities, corporate services, or workplace experience within a large, fast-paced organization.

  • Minimum of 2–5 years of experience in leading teams and managing service delivery across complex environments.

  • Strong business acumen with budgeting, forecasting, and vendor contract management experience.

  • Proficient with workplace technology and procurement platforms (e.g., ServiceNow, FMS, EMS, Oracle, etc.) and Microsoft Office (Excel, Word, PowerPoint).

  • Strong interpersonal and communication skills; able to engage effectively with diverse stakeholders at all levels.

  • Proven ability to lead change, improve operations, and deliver high-impact employee experiences.

  • Ability to manage competing priorities and execute with a high degree of professionalism and attention to detail.
