Know our team

Nutrition International’s Research and Development (R&D) Unit aims to tackle missed opportunities and unmet challenges and promotes an evidence-based approach to advocacy, decision making, multi-sectoral country planning, and the setting of nutrition agendas. We aim to address complex public health issues by breaking down siloes through research to advance global knowledge, driving evidence and innovation, and effective implementation of programs, building capabilities internally and capacity externally through partnerships in countries where Nutrition International works and enhancing Nutrition International’s staff capacities to ensure high standards of research design and implementation. Currently, Nutrition International is seeking applications for aUnit Projects Coordinator, Research & Developmentto be based inOttawa, Canada, working hybrid 2 days/week in-office.

About you

You are someone with a Bachelor’s degree in public health, nutrition, international development, business administration, or a related field. You have at least 2 years of relevant experience in administrative support, program coordination, or project administration. Experience supporting research or international development programs is an asset. Experience working with financial or contract administration systems is desirable.

You are proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook). Experience with collaboration and project tools such as Teams, SharePoint, or Planner is an asset. You have strong organizational and time management skills and the ability to manage multiple administrative tasks and priorities simultaneously. You have demonstrated high attention to detail and accuracy in documentation and data management.

Fluency in English is required.

About the role

Under the supervision of the Director of Projects, R&D, the Unit Projects Coordinator provides administrative, operational, and coordination support to all the projects managed by the Research & Development (R&D) Unit at Nutrition International. The Unit Projects Coordinator supports the smooth day-to-day functioning of the R&D Unit projects by coordinating administrative processes, supporting financial and contract documentation, organizing meetings and travel, and maintaining internal systems and documentation. The role enables R&D staff to focus on research design, implementation, and strategic partnerships by ensuring operational processes run efficiently. The R&D Unit leads the development and management of NI’s research portfolio, generating evidence to inform global nutrition programming and policy.

In this role, you will:

Project Delivery & Pipeline Execution

  • Provide administrative and logistical support for R&D research projects across the unit’s portfolio.
  • Support preparation and processing of project documentation, including contracts, purchase orders, reports, and payment requests.
  • Assist with the coordination of consultants and external research partners on administrative matters.
  • Support preparation and submission of administrative components of ethics applications, grant documentation, and donor reporting as requested by R&D staff.

R&D Leadership and Cross-Unit Admin Support

  • Provide logistical and administrative support for R&D participation in conferences, technical workshops, and external meetings.
  • Assist in collating and distributing meeting materials, presentations, and briefing documents for external engagements.
  • Support coordination of logistics for visiting partners, collaborators, and consultants engaging with the R&D Unit.
  • In collaboration with the R&D Knowledge Management Officer, maintain distribution lists and assist with dissemination of R&D communications and updates to internal and external audiences.

Unit Collaboration & Operating Model

  • Coordinate meetings, calls, and recurring team events for the R&D Unit.
  • Record meeting notes, action items, and proceedings for internal coordination meetings.
  • Coordinate meeting logistics, including room bookings, catering, and virtual meeting platforms.
  • Serve as the first point of contact for routine administrative inquiries to the R&D Unit and direct requests appropriately.
  • Support onboarding logistics for new R&D staff, including coordinating IT access, workspace setup, and orientation materials.
  • Maintain internal team calendars and coordination tools.

Resource Mobilization & Opportunity Development

  • Provide administrative support for proposal development processes, including formatting documents and compiling required materials.
  • Assist in organizing documentation required for grant submissions and donor reporting and maintain records of proposal documentation and support the coordination of submission timelines.

Capability Development

  • In coordination with KM officer, maintain organized document repositories and shared systems (e.g., SharePoint) to support knowledge sharing across the R&D Unit.
  • Support the maintenance and improvement of internal tracking tools and administrative processes used by the R&D Unit.
