Description
Norton Rose Fulbright Canada LLP is seeking an experienced and service-focused Office Services & Facilities Clerk to join our Vancouver office. This role will report to the Manager, Office Services & Facilities and is required to be onsite from Monday to Friday. The hours of work may vary between 7:00 a.m. – 5:00 p.m. daily with some flexibility to accommodate additional hours to meet deadlines (some overtime may be required). This role is ideal for an individual who takes pride in delivering outstanding service, anticipates client needs, and thrives in a fast-paced professional services environment where responsiveness, attention to detail and professionalism are paramount.
You Will Be Focusing On
Client Service & Workplace Experience
Deliver exceptional service to lawyers, executives, clients and business services professionals, ensuring every interaction reflects the firm's commitment to excellence. Serve as a responsive and trusted resource for workplace, office services and facilities-related requests. Anticipate client needs, proactively resolve issues and ensure service requests are completed accurately, professionally and within established service standards. Support reception, boardroom, hospitality and event operations, delivering a polished and professional experience for internal and external clients. Build effective working relationships at all levels of the organization, including senior leadership and executive stakeholders.
Office Operations & Facilities Support
Manage the timely and accurate processing of incoming and outgoing mail, couriers and digital mail services. Support office moves, workstation setups, occupancy changes, events and general facilities operations. This may occur outside of regular business hours. Maintain a professional, safe and client-ready office environment, addressing day-to-day operational requirements and facility-related requests. Monitor and maintain office inventories, supplies and operational resources. Coordinate with internal teams, vendors and building management to support seamless office operations. Perform a variety of heath and safety duties as needed, including First Aid, emergency evacuation assistance, participating on the Joint Health and Safety Committee (JHSC), and others as assigned. Training to be provided as needed.
Document Production & Operational Excellence
Operate and maintain multifunction devices and document production equipment, including printing, scanning, binding and finishing services. Support lawyers and business services teams with time-sensitive document production and delivery requirements. Maintain equipment readiness and troubleshoot routine operational issues to minimize service disruption. Handle confidential and sensitive information with a high degree of discretion, professionalism and accuracy. Contribute to special projects and other office services initiatives as assigned.
What You Bring To The Role
Passionate about delivering exceptional customer service and creating outstanding experiences for lawyers, executives, clients and colleagues. Professional, approachable and confident interacting with individuals at all levels of the organization, including senior leadership. Demonstrated ability to anticipate needs, exercise sound judgment and respond with urgency, professionalism and discretion. Experience working in a law firm, professional services firm, corporate office or other service-oriented environment. Highly organized with strong attention to detail and the ability to manage multiple priorities in a fast-paced setting. Proven ability to work independently while contributing positively to a collaborative, team-focused culture. Proficient in Microsoft Office; experience with document production, room booking systems, workplace technology or digital document workflows is considered an asset. Flexible and adaptable, with the willingness to support events, meetings and business requirements that may occasionally require work outside regular business hours and the ability to lift and move materials up to 30 pounds. Level 2 First Aid Certification (or be willing to attend Level 2 First Aid Training).
