Responsible for leading and managing a team of professionals within the Release of Information (ROI), Scanning and Records Management, and Transcription and Report Distribution teams. This position plays a critical role in ensuring efficient and accurate management of patient information, and the seamless integration of technology to enhance management capabilities, as well as optimize patient access and record keeping processes to enhance data accuracy and ensure compliance with regulatory standards.
Here's What You'll Do
- Oversee operations for Release of Information, Scanning and Records Management, and Transcription and Report Distribution teams, making determinations on resource planning and selection decisions, establishing performance expectations, conducting performance assessments, and addressing any performance issues.
- Develop and implement policies and procedures in accordance with organizational and legislative requirements.
- Prepare and administer assigned budgets, monitor expenditures, and perform cost/benefit analyses.
- Analyze and monitor operational performance, ensuring compliance with required timelines.
- Oversee the collection, storage, and retrieval of patient health information.
- Ensure accuracy, completeness, and timely availability of health information.
- Identify and implement initiatives to enhance accuracy and completeness.
- Participate in the evaluation and implementation of new technologies and systems to improve HIM processes, in collaboration with relevant stakeholders.
- Stay up to date with the latest HIM/ data management technologies and best practices.
- Ensure compliance with relevant regulations, policies and procedures related to health information management.
- Advise and guide stakeholders on health information management principles and practices and recommend solutions to various stakeholder needs that align with organizational policies and procedures, as well as applicable legislation.
- Partner with relevant stakeholders (as needed) to escalate and address compliance issues (e.g. privacy breaches), and/or other inquiries or concerns.
- Provide representation on relevant internal and external working groups and committees.
- Collaborate with stakeholders to ensure seamless information flow, data accuracy, and compliance with mandated requirements.
- Prepare reports and briefs for senior leadership and relevant committees.
Here's What You'll Need
- Undergraduate degree in Health Information/Informatics, Health or Business Administration, or other related discipline, and/or an equivalent combination of education and experience.
- CHIM certification/ Active membership with the Canadian Health Information Management Association (CHIMA).
- CIPP/C certification is an asset.
- Demonstrated knowledge and experience of health information management standards and best practices, and health records management systems, particularly in relation to records management, report distribution, release of information, and chart completion.
- Strong knowledge of applicable legislation especially as it relates to how personal health information is created, transcribed, maintained, scanned, verified, utilized, stored, retrieved, released, and disposed of (e.g., Public Hospitals Act, Personal Health Information Protection Act (PHIPA).
- Demonstrated leadership and management experience (3-5 years or more), including operational, financial, and performance management.
- Ability to communicate effectively both verbally and in writing, and to synthesize and present complex and /or technical information.
- Strong critical thinking, and ability to navigate ambiguity while exercising sound judgement within a complex, dynamic environment.
- Ability to adjust to new and unexpected events and to deal with and/or guide others in the resolution of conflict issues.
- Demonstrated ability to prioritize work effectively and efficiently.
- Strong interpersonal skills, with proven ability to interact positively and productively with a variety of personnel within the organization.
- Advanced knowledge of Microsoft 365 Suite, including Excel, SharePoint, and PowerPoint
- Experience with EHR and Content Management Systems, such as Epic and ChartMaxx
- Understands the importance of fostering a culture of equity, diversity & inclusion
