Reporting to theDirector, Facilities Management, theSupervisor, Campus Workplace Servicesoversees the intake, assignment, delivery, and service-level performance of facility-related work requests managed within Facilities Management.
This position provides day to day supervision and functional leadership to Facility Coordinators and Architectural Technologists, ensuring work requests are appropriately classified, resourced, delivered, and documented in alignment with SAIT facility and workplace standards and operational service targets.
The Supervisor serves as the first point of escalation for work request management, providing oversight on scope clarification, prioritization, stakeholder communication, and compliance with facility standards. The role is accountable for identifying when work requests exceed operational scope and require escalation to project classification, permitting review, or assignment to capital project teams.
This position plays a critical role in maintaining operational reliability, standards compliance, and customer satisfaction by ensuring the right work is delivered through the right delivery pathway.
###How you'll contribute
Work Request Oversight and Service Level Assurance:
- Oversee the intake, assignment, and delivery of facility work requests.
- Ensure service levels, response times, and completion targets are met in accordance with Facilities Management service standards.
- Monitor workload distribution and adjust priorities and resources to maintain performance.
- Track progress of work requests and make adjustments as necessary to ensure the successful completion of the work.
- Establish and maintain appropriate records and prepare operational and statistical reports.
- Continuously assess workflow and improve processes to enhance efficiency and service delivery.
- Develop and maintain metrics for team performance, service requests, and system reliability.
Team Leadership, Engagement, and Support:
- Oversee daily operations, ensuring service efficiency and adherence to SAIT policies and procedures.
- Provide clear direction and leadership to the team that encourage and support responsive communication, respect, and teamwork.
- Foster a positive and inclusive team culture that encourages collaboration and innovation.
- Develop and communicate team goals aligned with departmental and organizational objectives.
- Conduct regular 1:1 meetings with all direct reports, work with the leader to set performance expectations, provide constructive feedback, and address performance issues effectively.
- Promote open communication and maintain a safe environment for team members, and support resolution of conflicts within the team in a timely and fair manner.
- Support and encourage continuous learning and professional development opportunities, and identify training needs while facilitating relevant training programs.
- Monitor workload distribution and adjust assignments to balance competing priorities, ensuring service levels are met.
- Approve timesheets and manage employee leave schedules.
Scope Management, Classification, and Escalation:
- Serve as the initial escalation point for scope clarification and work request issues.
- Ensure work requests are correctly classified as operational work and identify when scope exceeds thresholds and must be escalated for permitting, design review, or capital project delivery.
- Coordinate escalation and handover to Project Teams as required.
Standards Compliance and Quality Oversight:
- Ensure work requests are delivered in compliance with facility standards, safety requirements, and minor works guidelines.
- Review recurring issues and risks related to finishes, furniture, equipment, or minor construction activities and implement corrective actions.
- Manage and maintain processes related to move, add, changes (MAC) and work requests.
Stakeholder Communication and Continuous Improvement:
- Serve as a point of contact for campus stakeholders on work request delivery issues.
- Establish a communication cadence to update leadership and stakeholders on the progress of work requests.
- Analyze trends, service data, and recurring issues to identify opportunities to improve processes, service levels, and operational efficiency.
###What you bring
- Diploma in Facilities Management, Construction Management, Architectural Technology, or related discipline required.
- Bachelor's Degree in Interior Design, Construction Management, Architecture or related discipline is preferred.
- 5-7 years of experience in facilities operations, work request coordination, or minor works delivery.
- 2-3 years of experience leading or supervising staff or coordinating cross functional operational work.
- Facilities Management or Project Coordination certifications (e.g., IFMA FMP) would be considered an asset.
- Strong judgment in scope and risk assessment.
- Ability to supervise and influence operational teams.
- Strong customer service and issue resolution skills.
- Excellent written and verbal communication skills.
