We’re looking for a skilled HR Generalist & Executive Assistant to the Chief Human Resources Officer (CHRO), someone who combines strong HR expertise with exceptional organizational and administrative capabilities. As the HR Generalist & Executive Assistant, you’ll be responsible for supporting both the operational and strategic needs of the HR department. You will serve as the right hand to the CHRO, ensuring smooth day-to-day operations, managing key HR functions, and assisting with special projects and executive priorities.

This is an ideal role for an HR professional seeking to grow their expertise in leadership support, HR strategy, and organizational development within a respected healthcare organization.

Compensation and Benefits:

  • Schedule: Monday to Friday, 9:00 am – 5:00 pm
  • Type: Full-time -Ottawa
  • Reports to: Chief Human Resources Officer (CHRO)

What You’ll Do:

  • Executive Support to the CHRO:
    • Manage the CHRO’s calendar, correspondence, and meeting preparation, ensuring priorities and deadlines are consistently met.
    • Prepare presentations, reports, and documentation for internal and external stakeholders.
    • Coordinate leadership meetings, take minutes, and manage follow-ups on key action items.
    • Handle confidential communications and maintain discretion in all matters.
    • Assist in managing departmental budgets, expenses, and vendor communications.
    • Support HR leadership communications and employee engagement initiatives.
  • Human Resources Generalist Responsibilities:
    • Provide full-spectrum HR support across recruitment, onboarding, employee relations, performance management, and compliance.
    • Manage end-to-end recruitment processes—job postings, interviews, offers, and onboarding documentation.
    • Maintain and update HRIS data, personnel files, and records with accuracy and confidentiality.
    • Support employee engagement programs, performance evaluations, and policy implementation.
    • Partner with payroll and benefits administration teams to ensure timely updates for new hires, terminations, and changes.
    • Participate in HR audits, compliance tracking, and policy reviews.
    • Contribute to HR communications, training coordination, and project tracking.
    • Identify process improvement opportunities to streamline HR workflows.
  • Special Projects & Strategic Initiatives:
    • Support CHRO-led organizational development and culture initiatives.
    • Assist with data analysis, reporting, and preparation of materials for executive decision-making.
    • Help coordinate leadership and company-wide meetings, town halls, and recognition programs. Lead or co-lead assigned HR projects as delegated by the CHRO.

What We’re Looking For:

  • Post-secondary education in Human Resources, Business Administration, or a related discipline.
  • 3–5 years of progressive HR or administrative experience, ideally supporting senior leadership.
  • Experience with HRIS platforms (Avanti experience is a strong asset).
  • Advanced proficiency in Microsoft 365, including Teams, Excel, PowerPoint, and OneDrive.
  • Excellent written and verbal communication skills, with professionalism and diplomacy.
  • Strong organizational, problem-solving, and multitasking skills with impeccable attention to detail.
  • Proven ability to manage confidential and sensitive information with discretion.
  • Collaborative, resourceful, and proactive approach with a passion for continuous improvement.
