WalterFedy is looking for a Senior Office Coordinator to support the day-to-day operations of our office. Working closely with the Office Manager, this role plays a key part in ensuring a smooth, efficient, and welcoming workplace for both employees and clients.
This is a dynamic, hands-on role combining office coordination with executive administrative support. The ideal candidate is highly organized, proactive, and thrives in an environment where priorities shift and no two days are the same.

What You Will Do
Office Coordination
Support the Office Manager in the day-to-day operation of the office. Coordinate office supplies, equipment, and vendor relationships. Manage mail, courier services, and general office organization. Provide front-line support to employees and visitors. Coordinate meeting rooms, workspace needs, and office logistics. Assist with onboarding logistics and employee support needs. Support planning and execution of meetings, training sessions, and office events. Help maintain a welcoming, organized, and professional office environment. Identify and implement improvements to office processes and workflows.
Executive Administration
Provide administrative support to senior leadership, including calendar coordination and scheduling. Assist in preparing meeting materials, presentations, and correspondence. Coordinate meeting logistics, take minutes, and track action items. Support communication with internal and external stakeholders. Assist with travel coordination and other administrative priorities as needed.
What You Bring To The Table
4–7 years of experience in office coordination or administrative roles. Experience supporting leadership is an asset. Strong organizational skills with the ability to prioritize effectively. Excellent communication skills (written and verbal). High attention to detail and commitment to quality work. Professional, approachable, and service-oriented mindset. Ability to work both independently and collaboratively. Proficiency in Microsoft Office and general office systems.
