##Qualifications
MINIMUM FORMAL EDUCATION/TRAINING:
- A degree or diploma in Human Resources or equivalent is required.
EXPERIENCE:
- A minimum of four years of Human Resource related experience is required.
- A minimum of two years functioning as a key HR support for talent acquisition and related activities, in a complex multi-unionized employer, in a people services department is required.
- Knowledge of the University of Manitoba HR protocols, policies and procedures is essential.
- An acceptable equivalent combination of education and experience may be considered.
SKILLS AND ABILITIES:
- Excellent interpersonal and communication skills are required, including the ability to communicate with individuals at all levels of the organization.
- Must be responsive and lead by example through superior client service skills.
- Must have analytical and problem-solving skills.
- Strong working knowledge of the Microsoft Office suite products is required, including Word, Excel and PowerPoint or other equivalent software.
- Must have excellent organizational, time management and prioritization skills.
- Ability to train, mentor and guide new and existing HR staff across a range of administrative and HR processes is required.
- Ability to establish and foster supportive working relationships is required.
- Demonstrated professionalism and accountability are required.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
##Key responsibilities
Recruitment & Talent Acquisition Support

Review job descriptions for accurate classification alignment.
-
Prepare and post job advertisements.
-
Create position numbers and maintain related records in VIP.
-
Coordinate the full posting lifecycle (creation, advertising, monitoring, closing/cancelling postings).
-
Communicate posting updates to unions as required.
-
Support hiring managers by:
-
Reviewing applicant pools
-
Conducting reference checks (upon direction of HR Consultant/Advisor)
-
Preparing offer letters
-
Manage the support staff casual pool.
-
Attend career fairs and assist with recruitment outreach.
-
Coordinate external advertising across multiple platforms.
Training, Mentorship & Systems Support
-
Lead training and mentorship for HR Assistants.
-
Develop and maintain training materials for UM Careers, VIP, and related processes.
-
Deliver HRIS systems training to internal HR staff and new hiring managers.
-
Complete system testing and assist with process/system improvements.
-
Review and update SOPs to support service consistency.
-
Provide short‑term client support when needed (covering for HR Advisors).
-
Participate in selection panels.
Administrative, Analytical & Operational HR Support
-
Maintain filing systems and ensure accurate HR records.
-
Support onboarding of new HR team members.
-
Assist with special projects across HR.
-
Generate HR metrics, reports, and tracking spreadsheets.
-
Maintain key tracking tools (e.g., job descriptions, data lists, metrics).
-
Develop and maintain analytical tools as needed.
-
Prepare presentations and materials for organizational reviews.
-
Provide scheduling support and coordinate meetings.
Client Service & Inquiry Triage
- Serve as a primary contact for HR‑related inquiries.
- Triage questions and provide guidance on HR processes and collective agreement provisions.
- Connect clients with appropriate resources or HR support as needed.
