About the role
We are seeking an organized and proactive Office Manager to oversee our daily administrative operations and ensure the smooth running of our finance department. In this dual-focused role, you will lead our administrative team, supervise our Accounts Receivable (AR), Accounts Payable (AP), Office administrators, and act as the primary liaison supporting our fractional controller.
Key Responsibilities but not limited to the following:
Finance & Controller Support
- Oversee and review the daily workflows of the AR and AP admins to ensure accurate and timely processing of invoices, billing, and payments.
- Act as the direct day-to-day support for the Fractional Controller, assisting with month-end close processes, financial reporting, and data reconciliation.
- Ensure financial operations comply with internal controls and company policies.
Office Administration & Team Supervision
- Supervise, mentor, and evaluate administrative staff, streamlining front-desk and clerical workflows.
- Manage office supply inventory, vendor relationships, facility maintenance, and IT/equipment coordination.
- Oversee company correspondence, document management systems, and general administrative policies.
Human Resources & Onboarding Support
- Coordinate the onboarding and offboarding processes for new hires, including workspace setup and orientation.
- Assist with general HR administration, such as time-tracking oversight and maintaining confidential employee records.
Qualifications
- Experience: Minimum of 3?5 years of progressive experience in office management, bookkeeping, or accounting, with proven experience supervising staff.
- *Financial Acumen: *Solid understanding of accounting principles and hands-on experience overseeing AP/AR functions.
- Tech Savviness: Proficiency with accounting software (QuickBooks, Xero) and office productivity suites (Microsoft 365, SharePoint, Google Workspace).
- Soft Skills: Exceptional organizational abilities, high attention to detail, and the capacity to communicate effectively with clients, staff, and external financial consultants.
- Education: Bachelor?s degree in business administration, Accounting, or a related field an asset.
