JOB SUMMARY:
Reporting to the Regional Pharmacy Director, the Administrative Assistant will provide Administrative Support to the Pharmacy Program.
RESPONSIBILITIES
The Administrative Assistant will provide timely and efficient administrative and secretarial support to the Pharmacy Program by:

Records and processes minutes at related meetings of the Pharmacy Program i.e. Regional Pharmacy and Therapeutics
-
Coordinates regional pharmacy meetings including corresponding directly with Physician Chairs, members of the Medical Advisory committee and Executive leads from other hospitals as required
-
Typing correspondence, reports, notices, procedures/policies, financial and statistical documents, graphic presentations, information matrices, etc., from written draft
-
Records and processes minutes at daily huddles
-
Collecting, monitoring and recording statistical data
-
Dealing with issues of a highly confidential and or sensitive nature.
-
Facilitate the effective and efficient functioning of assigned committees, obtain agenda items, distribute agendas, prepare all notices, reports, etc., attend meetings, and record minutes.

Entering schedules of the management team and staff into payroll software program
-
Processing month end financial data
-
Scheduling staff performance reviews and educational programs.
-
Arrange meeting rooms, travel and accommodation as required.
-
Filing and retrieving information.
-
Ordering and monitoring supplies and equipment and paying invoices.
-
Performing other duties and assignments as required.

Demonstrated ability to conduct all duties and responsibilities in a manner that is consistent with the corporation’s commitment to promote positive customer relations when dealing with patients, families, visitors, volunteers, staff and external agents.

Demonstrated appreciation of issues involving client/staff/employee/employer privacy and confidentiality in a multifaceted health care facility

Assistance with monthly financial reports and maintenance of scheduling systems
QUALIFICATIONS:
-
Graduate of post-secondary secretarial program and a minimum of three years progressively responsible secretarial experience in a health care setting preferred
-
Knowledge of medical terminology is required.

Demonstrated knowledge and experience in the area of computer operations. Experience to include Microsoft Office Suite programs: Word, Excel, Access, Power Point, Outlook, and Publisher. Testing will be administered for demonstrated knowledge.

Working knowledge of telephone systems, and general office equipment.

Knowledge of record retention systems.
-
Exemplary interpersonal and written/verbal communication skills.
-
Demonstrated ability to work independently, coordinating and prioritizing multiple assignments generated by several supervisors.

Excellent judgment and decision-making skills.
-
Commitment to continuous quality improvement in the provision of secretarial and administrative support services.
-
Excellent organizational and information/data management skills.
-
French Language proficiency an asset.

Providing Acute Care Services with 650 plus beds and an operating budget of half of a billion dollars, Windsor Regional Hospital is one of the largest community based non-academic hospitals in the Province of Ontario.
