Make an impact with our Administration team as an Administrative Assistant. This diverse team of professionals directly contributes to the success of the firm by supporting internal and external clients. As a trusted advisor, you’ll ensure the efficient and effective operation of our business.

Responsibilities

    • Provide senior level administrative support to partners, senior managers, managers and client service teams.
    • Coordinate, prepare, edit and/or proofread documents such as correspondence, presentations, and reports using various software.
    • Respond independently to basic client enquiries and escalate complex client enquiries to appropriate parties based on knowledge of practice/structure and work process.
    • Proactive and independent management of calendars and contact database in order to maximize best use of time.
    • Provide proactive billing and collection support and coordination using various MNP systems.
    • Coordinate meetings, conference calls, video conferences, live meetings, and events pertaining to a function or sub-function, etc., organize materials.
    • Assist in the preparation and submission of time and expense reports for the partner(s) supported.

At times, business needs arise and employees are required to work beyond their normal work day or work week to fulfill the responsibilities required for the role. Likewise, flexibility needed to devote time to personal matters, and our approach to flexibility provides for this.

Skills and Experience

  • Advanced skills with MS Office and Adobe, for example, Outlook, Excel, PowerPoint and Acrobat.
  • Proficiency to quickly learn proprietary software.
  • Excellent communication skills.
  • Good judgment and analytical skills with a focus on attention to detail.
  • Capable of working independently and take ownership of tasks.
  • Time management skills and the ability to work as a team to maneuver shared deadlines.
  • Ability to quickly and smoothly adapt to changing client demands.
  • Minimum 2 years administration experience.
  • College diploma or an equivalent combination of education and experience with an administrative assistant skill set.
