Opportunity

MacEwan University is seeking an Acquisitions Technician for a full-time continuing opportunity with our Library.

Are you passionate about curating diverse and dynamic collections? Reporting to the Manager, Library Operations, this role is central to acquiring resources that enrich our Library’s offerings. You’ll lead the procurement process using a variety of methods—from bulk electronic ordering to sourcing from unique domestic and international vendors. As the key administrator of our Library Software Platform (LSP), you’ll manage acquisitions, oversee critical accounts payable processes, and ensure seamless integration with PeopleSoft. Your stewardship will directly support the management of our substantial collection budget, making a lasting impact on our community’s access to knowledge.

Key responsibilities include:

Library Acquisitions

  • Managing acquisition of diverse library materials (monographs, eBooks, media, streaming, specialized resources) from request to receipt;
  • Processing orders via various methods (title-by-title, online, bulk, electronic protocols) across domestic and international vendors;
  • Maintaining centralized acquisitions within the Library Services Platform (LSP);
  • Coordinating textbook purchasing in collaboration with Library Services, Collections, and the Book Store; and
  • Inputting vendor data into the LSP and perform spreadsheet-based analysis and reporting for complex acquisitions.

Accounts Payable & Financial Reconciliation

  • Reviewing and verifying invoices; resolve billing discrepancies with vendors;
  • Creating payment vouchers in the LSP, ensuring accurate integration with PeopleSoft Accounts Payable;
  • Reconciling visa statements and complex purchase plans (Approval, Demand Driven Acquisition);
  • Conducting budget tracking, financial analysis, and generate annual spending reports; and
  • Maintaining strong financial stewardship of the library’s acquisitions and payments.

Collaboration & Team Support

  • Providing expertise to acquisitions and payables for team-based projects and initiatives;
  • Training and supporting staff in acquisitions processes;
  • Providing backup for Collections and Serials Technicians; oversee clerical support staff; and
  • Assisting in developing and updating Collection Services policies and procedures.

SKILLS

You will have:

  • Proficiency in using library system acquisition modules to manage and track materials;
  • A solid understanding of payment principles and procedures, particularly in a library or academic setting;
  • Familiarity with library standards, classification rules, and cataloging policies;
  • Exceptional communication, interpersonal, analytical, and decision-making skills;
  • Strong organizational abilities and a commitment to providing excellent customer service;
  • Proven initiative and ability to manage complex tasks efficiently and accurately;
  • The ability to work independently and collaboratively within small, specialized teams and adapt to evolving workflows and changing organizational needs;
  • A depth of experience appropriate for an intermediate-level technician role, with the ability to serve as the sole acquisitions expert within the library and university; and
  • The demonstrated ability to contribute specialized knowledge and support to teams that rely exclusively on the Acquisitions Technician’s expertise;

QUALIFICATIONS

  • A minimum graduate of a two-year library technician program from an accredited institution or related experience.
  • Experience handling payables and financial transactions related to library acquisitions.
  • Experience in library environments, prior work in Collection Support Services and Acquisitions is an asset.
  • An equivalent combination of education and experience may be considered.
