The Position
The Events Coordinator collaborates closely with the Event Operations Manager to maximize business revenues through account management and event execution for Gateway properties within Ontario and British Columbia.
The Events Coordinator to act as the central hub, connecting Sales, Marketing, Player Development and various internal teams by facilitating communication, aligning goals and executing logistics to drive business objectives. This position coordinates the administrative process, production schedules, floorplans, checklists, correspondence, creativity, and all details to complete a well executed event.
Key Responsibilities
- Support Event Operations with assigned event preparation activities such ad Floorplans Event Profiles, timelines, run-of-show, vendor recruitment, partner recruitment, entertainment, documentation, sales & marketing tactics, site inspections, reporting
- Assist in promotion of event strategically leveraging both external social media platforms, internal communication channels
- Presents creative and net new revenue driving event ideas to sites for consideration
- Seeks community partners, sponsorships and that are mutually beneficial
- Co-hosts meetings collaborating with cross-functional teams to ensure clear decisions are reached
- Monitors event budgets and creates post event reports to determine the ROI and the success of the event
- Research, select and manage vendors for various events keeping a preferred vendor list updated
- Performs site inspections incorporating a detailed walkthrough, risk assessment and post event review
- Research and evaluate local by-laws and compliance for each event as necessary
- Collaborate with properties to determine F&B offerings, inventory and staffing for on-site events
- Oversee and assist with on-site execution of the event including set-up and tear-down
- Assist in risk management and contingency planning for indoor and outdoor events
- Build and strengthen relationships among community members and partners
- Keeps work areas clean and free of safety hazards, debris, and litter
- Perform all job duties in a safe and responsible manner
- Adhere to departmental quality standards
What You Bring
- Requires a minimum education of a University degree or College diploma in Event Management, Marketing, Tourism or Business or a combination of related education and 1-3 years of event planning.
- Must have a valid driver’s license and have access to a vehicle and appropriate insurance for the purpose of using it for work
- Must possess an ability to obtain and communicate accurate information with meticulous attention to detail
- Must be organized and able to effectively prioritize tasks and meet deadlines under pressure and minimal supervision
- Excellent communication skills, both verbal and written
- Sound mathematical skills and analytical skills
- Proven high level of Customer Service
- Strong computer skills including knowledge of spreadsheets, publishing software, presentation software, email, web browsers and Delphi
- Excellent time management, can handle multiple responsibilities and working in a team environment
- Must be able to maintain a flexible work schedule which includes some weeknights and weekend assignments
- Extensive knowledge of computer applications
- Must be able to work all shifts, weekend, holidays, and special events as needed
