The Opportunity

Job classification: P5944 - Business Analyst

Salary range: $80,000 - $87,000. Placement within the range is typically based upon a review of skills, experience, and internal equity.

Hours per week: 37.5

Reporting to the Manager, Systems and Reporting in the Office of the Registrar (OTR), the Business and Reporting Analyst plays a key role in enabling data‑driven decision‑making, operational excellence, and system modernization across the Registrar’s portfolio. Operating at the intersection of analytics, business analysis, and academic systems innovation, this role supports both day‑to‑day operations and longer‑term transformation initiatives.

A major focus of the position is operational reporting and analytics, including stewardship and enhancement of Power BI dashboards and Argos reports. Working closely with OTR leaders and functional teams - such as Admissions, Learner Progression, Contact Centre, and Student Financial Account - the Business Analyst translates operational and strategic needs into actionable insights, real‑time reporting, and data assets that support planning, monitoring, and continuous improvement.

As a generalist business analyst, the role also supports registrarial operations, enterprise student systems, and integrations through requirements gathering, process analysis, and solution delivery in collaboration with ITS, vendors, and institutional partners. In addition, the position contributes to Curriculum and Program Planning (CAPP), helping design and deliver capabilities that support academic planning and downstream student systems.

Across all areas, the Business Analyst brings strong analytical thinking, systems expertise, and exceptional communication, documentation, and relationship‑building skills to improve processes, enhance system effectiveness, and support a high‑quality experience for students and staff.

How you'll contribute

Operational Reporting & Analytics

  • Lead the ongoing development, maintenance, and enhancement of existing and future OTR operational Power BI Dashboards, ensuring accuracy, usability, and alignment with strategic priorities and enabling data-driven in-the-moment decision making.
  • Partner with OTR leaders and functional teams to gather reporting requirements, translate business questions into data specifications, and prioritize reporting needs.
  • Conduct data analysis, validation, and quality checks to ensure reporting outputs are reliable and fit for decision-making.
  • Design, build, and support Argos reports and data blocks, including enhancements to existing reporting and development of new operational and ad-hoc reports.
  • Support ad-hoc reporting and analysis requests for operational, planning, and governance purposes.
  • Identify opportunities to streamline, standardize, or retire reports to reduce duplication and improve clarity.
  • Contribute to advancing data literacy within OTR by documenting reports, defining metrics, and supporting interpretation of insights.

Business Analysis & Systems Support

  • Collaborate with business owners to investigate operational challenges and opportunities, documenting current state and future state business processes.
  • Gather requirements, perform analysis, and generate/update documentation for system enhancements, integrations, and process redesign initiatives.
  • Support the configuration, enhancement, and ongoing use of Ellucian Banner and related systems and interfaces used within OTR.
  • Play a key role in Banner upgrades, including review of release notes, fit-gap analysis, testing coordination, and impact assessment.
  • Perform functional and system testing for new solutions, upgrades, and defect resolution to ensure system integrity and usability.
  • Support change management activities, including development of documentation, job aids, and training materials for staff.
  • Provide input into OTR technology and systems planning, informed by operational needs and emerging opportunities.

Curriculum and Program Planning (CAPP) Investigation & Build

  • Partner with the Curriculum Controls team to investigate requirements and develop roadmap for Curriculum and Program Planning (CAPP) updates.
  • Analyze academic planning and curriculum workflows to identify opportunities for system support, automation, or redesign.
  • Participate in the configuration, build, or enhancement of CAPP solutions, in alignment with institutional standards and governance.
  • Assess impacts of CAPP design decisions on downstream systems, data, and reporting, particularly within Banner and related integrations.
  • Support testing, validation, and refinement of CAPP functionality in collaboration with functional and technical stakeholders.
  • Document processes, assumptions, and decisions to support sustainability and knowledge transfer.
  • Contribute to continuous improvement of curriculum and program data quality and system alignment.

What you bring

Minimum:

  • Post-secondary degree or diploma preferably in Information Systems, Technology, Business Analysis, or Business Process design
  • 5 or more years direct experience with enterprise resource planning systems, student information systems maintenance and/or support for post-secondary educational institutions
  • Data extraction, manipulation and reporting experience with SQL and reporting or data analytics applications such PowerBI, Tableau, and/or Argos
  • Strong relationship building and relationship management skills
  • Proficient with database applications and effective use of relevant business systems and tools
  • Strong communication skills and capable of explaining complex technical matters to nontechnical users
  • Must be very detail oriented, organized, curious, be able to prioritize, and multi-task a variety of tasks
  • Excellent problem solving and troubleshooting skills

Preferred:

  • Demonstrated familiarity with project management and change management principles
  • Experience with data management, business process improvement or software development an asset
  • Experience with forms and report design principles.
  • Functional experience with Ellucian Banner is an asset
  • Experience with a variety of Office of the Registrar related software, including functions related to advising, call centre, admissions, learner records, scheduling, registration, transfer articulation and/or enrollment reporting.
  • Certified Business Analysis Professional (CBAP) or Certification of Competency in Business Analysis (CCBA) offered by the IIBA, or Professional in Business Analysis (PMI-PBA) designation offered by the PMI
  • Microsoft Power BI certification (e.g. Power BI Data Analyst Associate), or equivalent training
