Minimum Requirements:
- Post-secondary education in business administration, communication or similar field
- Minimum 3-5 years of relevant experience
- Strong communication skills, critical thinking and problem-solving skills
- Outstanding organizational skills with a high attention to detail
- Demonstrated proficiency with Microsoft Office, and SAP experience
- A motivated self-starter, who is results oriented and driven by accuracy and a continuous improvement mindset
Key Responsibilities:
- Interact with Fort Hills Leadership Team and site-based leadership to facilitate day-to-day operations and communication (meeting, document, and presentation preparation, calendar management)
- Act as a trusted advisor/resource to the Fort Hills organization at all levels, frequently consulted for advice and know-how on site administrative processes and policies
- Liaise with functional support groups to facilitate process and facility improvements (IT, NPA, EHS, SCM, Communications, HR)
- Act as Documentation Lead for the emergency response team. Respond to site-based emergencies and support Deputy to facilitate meetings. Manage all event documentation. Coordinate training for team members and implement corrective actions.
- Coordinate logistics for site tours, aligning multiple stakeholders across all levels of Suncor leadership (site access, exemptions, passes, presentation, guides, room bookings, transportation, catering, PPE)
- Coordinate and execute site celebrations and events (e.g. leadership alignment sessions, political events, Day of Mourning, milestone events)
- Provide general office and administrative support
- Manage site-wide commercial flight requests, ground transportation and travel changes.
- Manage lodge parking pass program. Provide monthly stewardship on security reports and track non-compliance.
- Approve site vehicle pass requests. Manage allotments, review overages and vehicle planning process with Suncor coordinators and vendors. Update procedures
- Create SOW and process approvals in Fieldglass.
- Manage re-issue PPE program, submit new orders, and coordinate distribution
- Manage Safety Recognition program. Track submissions and provide stewardship updates to FHLT. Coordinate inventory and manage annual budget.
- Active member of site committees (Joint Workplace Health and Safety, Workplace Inclusion Network, social clubs)
- Process expense reports for individual and CTA account · Exercise initiative, independent judgement and discretion in planning and executing work assignments, as well as addressing unusual non-recurring situations
Location and Other Key Details:
- You will work out of our camp-based Fort Hills mining site, located in Alberta’s Athabasca region, 90 kilometers north of Fort McMurray, Alberta
- The shift schedule is a seven days on/seven days off rotation (12-hour shifts, dayshift only)
- This position is considered security sensitive
