Black Diamond Group’s Office Services department has a full-time position for Office Services Coordinator, Part-time. The part-time Office Services Coordinator reports to the Manager, Events and is primarily responsible for providing administrative support for Black Diamond Group Limited’s Corporate Head Office. This position covers reception in the morning and serves as the first point of contact for visitors, clients, and employees, ensuring a welcoming environment. The role is also responsible for Head Office facility management and general administration for the office services team in collaboration with the Receptionist and Office Services Assistant.
The ideal candidate will have 3+ years of experience in providing Office Services to a busy and dynamic office, wearing many hats. They must be polished and professional, with strong customer service, communication and multitasking skills and a can-do attitude.
Responsibilities: Facility Management:
- Daily reception coverage from 8:00AM – 11:00AM
- Coordinate allocation of office space for new hires including furniture, access cards, etc. and assist with space reallocations and applicable office moves, as needed.
- Maintain an accurate office map and ensure physical and digital copies are current.
- Maintain inventory (furniture, artwork, etc.) tracking for the Calgary Head Office and manage new furniture orders.
- Collaborate with the Receptionist to maintain the Calgary Head Office parking list, ensuring timely processing of monthly invoices and proper allocation to various cost-centres; coordinate parking passes for eligible new hires, as needed.
- Conduct office audits of the building condition to ensure quality of standard is maintained and liaise with building management and contractors for general maintenance, etc.
- Coordinate maintenance of office equipment to ensure office remains in good working order.
- Manage office supply procurement and coordinate with the Receptionist to order office confectionary supplies including coffee, tea, fruit, etc.
- Collaborate with the Events team on Head Office activations, events and activities.
- Support the HSE team with Head Office safety programs, including fire wardens, first aid designations, etc.
Office Services Administration:
- General administration for the Office Services team including processing all invoices and entering POs, CAP POs an AFEs.
- Manage monthly Office Services accruals and support with monthly cost-centre review to track costs to forecast.
- Establish and maintain a list of approved contractors and suppliers to ensure favorable rates.
- Coordinate with the Corporate Communications team to distribute relevant Calgary Head Office building announcements and communications.
- Ensure Office Services SharePoint and Microsoft Teams site and channels are organized.
- Maintain and update an Office Service Manual to standardize key procedures and processes for the team.
- Other duties as assigned.
Qualifications
- Post-secondary education in a related field is considered an asset
- 1-3 years of administrative experience and office services experience
