Position Overview:
We are currently seeking a dynamic and reliable individual to join our team and help provide assistance to our customer team. This will be an in person role. You will work out of our Calgary office.
You will play a key role in supporting our sales and customer-facing team by ensuring smooth coordination, timely communication, and task completion.
As a Sales Assistant you will:
- Help streamline internal workflows by directing incoming customer inquiries to the appropriate team members.
- Support the sales team by booking meetings, sending initial customer information, and keeping communication flowing.
- Take ownership of assigned projects and ensure timely and accurate execution.
- Be a go-to resource for the team, helping wherever needed to ensure success across departments.
Key Responsibilities:

Triage Incoming Correspondence
-
Monitor and manage shared inboxes or communication channels.
-
Direct customer inquiries or responses to the appropriate team member (e.g., sales rep, support, onboarding).

Book and Coordinate Meetings
-
Schedule outbound sales calls, demos, or follow-ups on behalf of the sales rep.
-
Ensure calendar invites include relevant materials and context for the meeting.
-
Send reminders and confirmations to prospects before meetings.
-
Send Introductory Information
-
Deliver initial emails or outreach packages to prospects using pre-approved templates or materials.
-
Share brochures, product overviews, or onboarding instructions after contact is made.

CRM and Data Entry Support
-
Update and maintain customer records in the CRM system (Hubspot)
-
Log interactions and track the status of outreach campaigns or follow-ups.
-
Prepare Sales Materials
-
Assist in compiling personalized pitch decks, proposal documents, or demo accounts.
-
Gather relevant industry or company research to support sales conversations.
-
Follow-Up Coordination
-
Send thank-you emails and follow-up materials after outbound meetings.
-
Track when follow-ups are due and alert the outbound rep as needed.

Project Support
-
Assist with outbound campaign initiatives or sales projects assigned by the team.

Help test and refine outbound processes (e.g., sequencing tools, message templates).

Liaison with Internal Teams

Communicate with marketing, product, or customer success to obtain up-to-date collateral or answers to prospect questions.

Surface common themes or questions from prospects to the broader team.
Qualifications:
- Experience in a fast-paced, customer/people facing role.
- Adept at managing multiple tasks simultaneously and working independently.
- Excellent communication and presentation skills.
- Self-motivated with a strong drive for results and a proactive approach to learning and problem solving.
- You have the ambition to always understand the why behind things and are also a critical thinker.
- You love to learn and read between the lines. You’re tech-savvy and always eager to find solutions.
- You have a proven ability to handle setbacks and overcome challenges, demonstrating perseverance and a positive attitude in the face of adversity. You take feedback constructively and use it as an opportunity to improve and grow.
- Ability to work independently as well as part of a team.
