About the role

Job Details

Description What the role is all about You will be responsible for supporting scheduling and staff coordination for the WinSport Winter Programming, focusing on the building and ongoing maintenance of the schedule, effective and proactive communication with staff, and some client communication. Your focus will be delivering consistent schedules to team members and managing labor as it pertains to variable demand and capacities of our programs.

  • Work closely with the Scheduling Coordinator, Snow School and Sport Leadership team on scheduling and administering payroll for approx. 200 team members.
  • Responsible for the scheduling and coordination of staff for training, lessons and programs, ensuring staffing aligns with program registration to manage labor efficiently.
  • Ensure all staff schedules are kept current and updated accurately in our scheduling software and UKG for payroll purposes.
  • Monitor program capacities to ensure operational efficiency in scheduling.
  • Administer time off requests and shift changes.
  • Help with administrative tasks, such as creating & updating documents for staff contact and availability.
  • Provide assistance to Team & Shift Leads as necessary, particularly in communication and coordination efforts.

Communication

  • Coordinate with staff to ensure timely and clear communication regarding scheduling, payroll, and other operational concerns.
  • Act as a first point of contact for instructors- Manage staff emails, answering in a timely manner or passing them to relevant people.
  • Collaborate with Guest Relations for private lesson requests and ensure clear communication of information to customers.
  • Support the onboarding process to ensure the accuracy of staff numbers, working closely with team members and Team & Culture through this process.
  • Build rapport with the team: Foster positive relationships with team members to create a cohesive and supportive work environment.
  • Streamline communication with staff

Safety/Risk Mitigation

  • Adhere to and assist in the enforcement of Snow School and safety policies and procedures to preserve the safety of both staff and guests.
  • Make appropriate considerations for scheduling with regards to instructor-to-participant ratios, program levels, and required staff certifications.
  • Be mindful of safety hazards/concerns within the work environment and ensure all safety hazards or concerns are reported to appropriate personnel.
  • Other duties as required

What You Bring

  • 1-2 years experience as a staff scheduler
  • 1-2 years experience as a payroll coordinator
  • Experience with Microsoft Outlook, Word, and Excel.
  • Strong customer service skills.
  • Strong communication skills.
  • Strong decision-making skills.
  • Must be enthusiastic and have a positive attitude.
  • Able to work as part a team and independently.
  • Experience within a large Snow School is considered an asset.
  • Experience working using the software UKG/UltiPro is considered an asset
  • Understanding of Ski/Snowboard industry is considered an asset.
  • Experience with scheduling in a fast-paced, dynamic environment considered an asset.
  • Experience in an admin role considered an asset.
  • Leadership in the industry or related industry is considered an asset.

Working Conditions

  • In a dynamic working environment.
  • Able to lift, carry, push, or pull objects up to 20lbs occasionally.
  • Primarily indoors using a computer. However, some outdoor activity is required.

Employment Dates & Times

  • Seasonal position from October to April.
  • Specific weekly schedule negotiable
  • Some weekend, evening, and holiday availability is required.

About WinSport

The Bill Warren Training Centre (BWTC) opened in January 1994. The facility provides fitness training and support services to Nordic athletes and the public. The BWTC is located at the Canmore Nordic Centre. It was the host site of the cross-country skiing and biathlon events at the 1988 Olympic Winter Games.
