About the role
What We Expect Your r esponsibilities
- Lead and manage the branch administrative team, ensuring standardized and consistent processes, workflows, and priorities. This includes talent acquisition, performance management, coaching, mentoring, and providing continuous development opportunities to optimize team performance.
- Drive process improvements within administrative operations to enhance efficiency, accuracy and overall service delivery. Ensure all processes align with company standards and internal control policies, with a focus on accurate invoicing, timely data entry, and proper documentation.
- Oversee the accuracy of invoicing, ensuring all billing is in line with corporate policies. Collaborate with the Corporate Collection Team to address billing discrepancies, monitor performance, and ensure prompt resolution of any outstanding collection issues.
- Foster effective communication and collaboration with Finance, Sales, HR, Collections, and Service Operations. Ensure smooth administrative support to field operations and align processes across departments to achieve company goals.
- Act as liaison between cross functional groups (operations, finance, service, sales etc) and work collaboratively with each respective District Manager to achieve operational objectives.
- Ensure timely and accurate communication with HR regarding employee changes such as new hires, promotions, terminations, and status updates, maintaining consistency across all HR-related processes.
- Monitor labour and hour reports to ensure accuracy in work hours, overtime, and adherence to company policies. Provide actionable insights for process improvements related to workforce management.
- Supervise administrative tasks related to service contracts, invoicing, and work order processing. Ensure that all data is entered accurately into Salesforce, Oracle, and other internal platforms.
- Maintain organized documentation and records for audits and compliance reviews. Ensure all administrative functions comply with corporate policies, safety regulations, and industry standards.
- Handle escalated customer inquiries related to administrative or billing issues, ensuring timely and effective resolution to enhance customer satisfaction.
- Prepare and present regular reports on administrative performance, accounts receivable, labour tracking, and other key metrics. Use data analysis to identify trends and areas for improvement, driving continuous improvement initiatives.
- Lead regular meetings with the administrative team to review priorities, address challenges, ensure continuous improvement and implement robust cross functional training plans with associated admin portfolio assignment
- Represent the administrative function in branch and regional meetings, providing updates and insights on operational areas.
Who we are looking for Your Qualifications
- Bachelor’s degree in Business, Communications, Human Resources or a related field.
- Minimum 5 years proven people management experience, preferably in a service-oriented or technical industry.
- Proven leadership skills with experience driving performance, fostering a culture high performance, collaboration, continuous improvement and learning.
- Strong proficiency in Microsoft Office Suite (Excel, Outlook, Word etc).
- Strong analytical, skills with the ability to assess data, identify trends, and implement process enhancements.
- Strong business acumen.
- Excellent communication skills, both written and verbal, with the ability to interact effectively with various stakeholders.
- Ability to thrive in a fast-paced environment, managing multiple completing priorities and adapting to changing demands.
- Experience in the elevator, construction, or mechanical service industry is an asset.
- Knowledge of Salesforce and Oracle is considered an asset.
- Valid drivers license and the ability to regularly travel between office locations (Downtown & Surrounding GTA) based on operational needs.
