Major Purpose

The Membership and Administrative Assistant supports membership renewal, recruitment, and database management for Canadian municipalities while providing reception services for the main FCM phone number. The Representative responds to inquiries received through the “Info”, “Membership” and “Reception” email inboxes and assists with general administrative duties.

Key Responsibilities

  • Performs regular database content maintenance to ensure accuracy and integrity of data including ongoing updates of municipal contacts, membership status changes, new member data, etc.
  • Supports the Member Relations Advisor with renewal/recruitment/ as required and ensures the integrity of Accounts.
  • Fulfill member subscription requests to FCM newsletters.
  • Performs a general reception role by answering the main FCM phone line and ensuring timely, courteous responses to emails to the “Info”, “Membership” and “Reception” email inboxes.
  • Assists other team members and/or performs other duties as requested by the Member Relations Advisor.
  • Assists with portal account creation and responds to basic Portal inquiries from Events and Programs by responding to or redirecting inquiries by phone or email.

Knowledge, Experience and Skills

  • A combination of professional and lived experience and/or two years’ experience in an administrative role would be an asset;
  • Working knowledge of databases and contact management software;
  • Working knowledge of Microsoft Office Suite (Outlook, Word, Excel – advanced knowledge of Excel would be considered an asset);
  • Excellent data entry skills including speed and accuracy;
  • Demonstrate attention to detail and quality assurance;
  • Able to direct calls using a telephone system;
  • Strong customer service, communication skills, and good judgment required to interact with members, FCM staff, and the public;
  • Ability to organize, multi-task, and prioritize to coordinate a variety of daily responsibilities;
  • Bilingualism is required (written and spoken).

The future of work at FCM includes a hybrid work model; therefore, this role will be a combination of virtual and on-site work. The successful candidate is required live within 80kms of downtown Ottawa and be authorized to work in Canada.
