Role:
As Active for Life Coordinator
, you will provide front-line supervision and leadership to a team of Camp Instructors, Preschool Educators, and Activity Facilitators, ensuring the coordination and delivery of high-quality, safe, and engaging programs for camps and activity-based groups that include schools, agencies, senior groups, and group homes. This role is responsible for coordinating day-to-day program operations, including scheduling, team support, and performance monitoring, while maintaining a strong presence on-site to address participant needs and operational issues. You will also support program planning, coordination and administration, contribute to team training and development, and ensure compliance with all safety protocols and organizational policies to foster an inclusive and positive environment for all participants.
Reports to: General Manager
Hours: 40 hours per week - This position will require flexibility for weekends and/or evenings based on business demand and requirements.
Responsibilities:
Program Coordination, Administration & Delivery:
- Perform camps, preschool and activity-based group administration duties including:
- Manage waitlists, enrolments and payments in Avocado.
- Complete data uploads to Avocado for all Active for Life programs.
- Assist instructors with the completion of necessary forms and e-forms on the first day including: talent release form, field trip forms and safety waiver forms
- Assist the instructors with the sign in/sign out processes
- Answering emails and phone calls
- Complete weekly inventory of equipment and supplies
- Complete any accident and injury report forms
- Facilitate communications with parents, employees, participants, and direct supervisor
- Respond to parent/guardian and participant concerns in a professional manner
- Create daily, weekly, and monthly employee and activity schedules
- Support with the review of program content on the website related to registrations.
- Support with canceling or merging classes where required due to low enrollment or other reasons requiring cancellation.
- Assist with the development of the camps, preschool, and activity-based group budget and understand and monitor key components that influence targets.
- Work alongside your direct leader to promote camps, preschool, and activity-based programming provide accurate communications to current and future program participants.
- Track, monitor and report spontaneous usage and impact; weekly, monthly and annually.
- Build strong relationships with our camp, preschool, and activity-based group audiences by fostering an active, social, inclusive and engaging learning environment for participants.
- Demonstrate an upbeat, approachable and engaging personality to create a sense of community in all programs.
- Take the lead on responding to customer inquiries to resolution.
- Be onsite, available to participants and team members when programs are in operation.
Leadership
- Assist your direct leader with recruiting, mentoring, developing performance, targets and the day-to-day performance management of the instructors utilizing Human Resources best practices to ensure a high-performing team.
- Lead and provide clear direction and expectations to camp instructors and activity facilitators on roles and responsibilities and empower and hold the team accountable for achieving established work- plans and targets through the regular follow-up, feedback and coaching.
- Be accountable for the development, progress and evaluation of work-plans and performance targets for camp instructors, preschool educators, and activity facilitators.
- Participate in the assessment, revisions, and revamping operational policies, procedures and training manuals to ensure they are aligned and support business and team practices.
- Perform regular scheduling and payroll for the camp instructors, preschool educators, and activity facilitators.
- Observe programs daily to ensure that Vivo values are being upheld throughout the delivery of all offerings by engaging in program activities daily by remaining accessible and visible to participants and instructors.
- Lead weekly / monthly debriefs with the teams and report back to your direct supervisor.
Safety
- Demonstrate a high standard of supervision, risk assessment, Vivo’s best practices, and duty of care by actively maintaining health and safety standards, first aid incidents, and equipment inventory of first aid kits.
- Assist with facilitating in-services for camp instructors, preschool educators, and activity facilitators demonstrating knowledge in Vivo’s Health & Safety policies and procedures to train the team.
- Perform and lead all preventative maintenance on equipment (tools provided).
- Recommend necessary replacement items to maintain service, ensure safety or improve efficiency. Working with direct leader order parts and equipment from the most appropriate and cost-effective sources available.
Qualifications:
- Working towards a Post-Secondary Diploma and/or University Degree in kinesiology, education, experience and place making, recreation, business, etc.
- 2-3 years progressive experience in sport and recreational programming, curriculum, and developing, evaluating, and modifying program lesson plans and activities.
- 2 -3 years of progressive people leadership and supervisory experience.
- Early Childhood Educator certification level 2 with preference for level 3.
- Required certifications as designated by Vivo.
- Current Standard First Aid (SFA) and CPR-C/AED certification
- Police Information Clearance with Vulnerable Sector Search, completed within the past 3 years (current employees); 3 months (new employees)
