Nature of the Work & Responsibilities
NATURE OF THE WORK:
The job of the administration officer involves more specifically realizing day-to-day administrative programs and processes for one or more College service.
RESPONSIBILITIES:
Reporting to the Associate Director of Human Resources, the incumbent works in collaboration with department managers in the application of collective agreements for support, professional, teaching, and management staff. The incumbent must demonstrate a high level of confidentiality and discretion and comply with personal information protection laws and the collective agreements of four categories of employees. The incumbent's main duties are as follows:

Oversee and process all disability dossiers, various types of leaves (such as maternity, paternity, parental, etc.) and arrange for medical evaluations when necessary for the 4 categories of employees as per collective agreements;

Responsible for Support Staff, Professionals, and Management group insurance dossier: process enrolments, terminations, leaves, modifications, prepare invoices, etc.

In collaboration with Management, review accommodation requests from employees and provide recommendations;

Oversee employee banks, vacation planners, etc. in collaboration with the Benefits Administration Technician;
-
Provide employees with guidance and information regarding benefits associated with specific leaves in accordance with collective agreements;

Responsible for preparing and analyzing Human Resources related reports as required;

Make recommendations to Management in matters related to the scope of their activity;
-
Provide support for the administration of the pension dossier and resource person for all categories of employees regarding pension related matters (e.g. retirements, buybacks, etc.);

Provide support for processing of CNESST cases (accidents, preventative leaves, etc.);
-
Make recommendations to Management in matters related to the scope of his/ her activity;
-
All other related duties.
Qualifications & Conditions
QUALIFICATIONS:
An undergraduate degree in an appropriate field of specialization, particularly administration (Human Resources).
CONDITIONS:
-
5 years’ experience as a Human Resource Generalist is required;
-
Pertinent experience in the field of benefits in an unionized environment is preferred;
-
Experience in client service as a resource person;
-
Analytical thinker and independent problem solver; must be able to bring initiatives and projects to timely completion;
-
Proven ability in working independently with strong time management skills and within a multi-disciplinary team;
-
Knowledge of public sector payroll and pension plan procedures an asset;
-
Advanced oral and written communication skills in English and French (testing may be required);
-
Advanced Microsoft Office skills and familiarity with HRIS software (testing may be required).
