About the role

SaskEnergy is seeking a qualified and motivated individual to join our team. The Administrative Assistant provides general office support for the department by performing a variety of administrative, general and specialized duties including clerical, reception and work management processes.

Position Details

  • Union – This position is temporary full time for up to 12 months.

Core Responsibilities

General Office Functions

  • Perform general office duties. This includes:

    • Receive, respond to and direct phone enquiries.
    • Prepare letters and other forms of correspondence.
  • Provide statistical reports from various computer databases (e.g. accounting systems, human resource systems, etc.).

  • Perform administrative duties required for arranging meetings, training and conferences, including sending invites, arranging facilities and appropriate supplies, making hotel reservations and travel arrangements.

  • Receive, sort and distribute office communications and mail.

  • Prepare cheque requisitions and journal vouchers.

  • Provide training and support on related work systems, office software and processes to department staff and/or provide training and support on related work systems and processes to users.

  • Acknowledge and provide assistance to internal and external customers.

Record and File Administration

  • Prepare, format, distribute and proofread correspondence, presentations, graphs, reports, meeting minutes, memos, forms and other department documents.
  • Run statistical reports utilizing appropriate work management, human resource and corporate accounting management systems.
  • Update and maintain department programs, records, systems, files and libraries.
    Maintain and organize information filing and retrieval system to facilitate information flow, storage, and retrieval of materials, documents, correspondence and reports.
  • Draft correspondence from file, program or system data.
  • Compile, organize, copy, fax and file information.
  • Document administration processes, ensuring they are efficiently maintained and updated.
  • Process and reconcile procurement card accounts, expenses, timesheets, attendance reports, cheque requisitions and invoices for authorization and/or payment.
  • Maintain office supply inventory and arrange for pick-ups and deliveries of packages and supplies.

Department Administration Process

  • Perform administrative duties specific to the department (these duties vary from department to department).

Qualifications

Education

  • Grade 12 or equivalent.
  • Recognized Office Administration Certificate.

Experience

  • Two (2) years secretarial work experience utilizing computer based software including word processing, spreadsheet, scheduling, database and presentation applications within a window based operating environment.

    OR

  • Grade 12 or equivalent.

  • Four (4) years secretarial work experience utilizing computer based software including word processing, spreadsheet, scheduling, database and presentation applications within a windows based operating environment.

Note:

  • Automatic progression from the Administrative Assistant to the Senior Administrative Assistant classification will occur after (3) years in the Administrative Assistant classification.
