Job Purpose

The Sales & Marketing Coordinator supports Waiward’s business development and brand growth initiatives by coordinating marketing activities, maintaining consistent brand materials, and contributing to sales pursuits. This role develops and manages content across digital, print, and social platforms, ensuring cohesive and professional messaging.

The position also supports estimating efforts by assisting with proposal and pursuit materials, conducts market research to identify opportunities, and coordinates client events and industry engagements that enhance Waiward’s visibility and help drive new business opportunities.

Responsibilities:

  • Display a commitment to Waiward’s incident-free vision, values, and culture.
  • Develop and maintain marketing and sales materials, including brochures, project sheets, presentations, corporate profiles, website content, and social media updates.
  • Collaborate with construction, fabrication, and external stakeholders to develop branding, marketing materials, and editorial content across print, digital, and social media platforms.
  • Maintain and organize Waiward’s library of marketing and sales materials, ensuring content is current, accurate, and easily accessible for business development and proposal efforts.
  • Manage the design, production, and inventory of corporate-branded merchandise for events, client engagement, and internal initiatives.
  • Coordinate and support corporate, client, and industry events, including logistics, material preparation, and on-site execution as required.
  • Identify and recommend branding and marketing opportunities to support targeted market sectors.
  • Research market opportunities and monitor industry activity, including upcoming projects, clients, and potential partners within key sectors.
  • Support project and estimating teams with external communications related to current and prospective opportunities, including:
    • RFQ/RFP submissions
    • Development of presentation materials
    • Preparation of client correspondence
    • Creation of value propositions for targeted bids
  • Track bid submissions and support post-bid activities, including client follow-ups, feedback collection, and maintaining records of outcomes and lessons learned.
  • Assist with client relationship management by coordinating meetings, preparing briefing materials, maintaining contact lists, and supporting follow-up actions.

Qualifications:

  • Post-secondary education in Marketing, Communications, Business Administration, Office Administration, or a related field (degree, diploma, or certification).
  • 2–5 years of experience in a marketing, communications, or business development support role; experience in industrial construction is considered an asset.
  • Strong writing, editing, and proofreading skills, with excellent verbal and written communication abilities.
  • Experience developing marketing, digital, and proposal materials, including RFQ/RFP submissions, presentations, and promotional content.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
  • Experience with Adobe Creative Suite (InDesign, Illustrator, Photoshop) and/or Adobe Acrobat; digital design experience is preferred.
  • Experience managing website content using content management systems (CMS) and familiarity with web content management tools.
  • Experience managing or supporting social media marketing initiatives.
  • Strong organizational and time management skills, with the ability to manage multiple priorities and deadlines.
  • Detail-oriented with a strong focus on accuracy, consistency, and brand alignment.
  • Strong interpersonal skills with the ability to collaborate effectively across teams and with external stakeholders.
  • Experience with CRM systems and event coordination is considered an asset.

Working Conditions

  • Hybrid working environment, combining office-based or remote working arrangements with regular attendance in the office, as dictated by operational requirements.
  • May require the incumbent to walk stairs; be outside inclement weather (slippery surfaces and cold); carrying objects, driving and being exposed to normal office routines.

Physical Requirements

  • The incumbent is required to have close visual acuity to perform an activity such as viewing a computer terminal for extended periods of time, and extensive reading.
  • The incumbent is also required to stand and sit for extended periods of time.
