We are hiring a Variations Coordinator to join our contract team.
Expected Compensation
The exact salary you will earn is dependent on the specific project to which you are assigned. Currently, the salary range for projects you may be assigned to in the position of Variations Coordinator is $80000 to $100000K.
What You Will Be Doing? Coordinate the end-to-end administration of contractual Variations from identification through to commercial resolution. Prepare, coordinate, and track Variation Notices, Variation Enquiries, Variation Estimates, Variation Directives, and associated contractual correspondence in accordance with contractual requirements. Liaise with Commercial, Construction, Design, Project Controls, Estimating, Procurement, Quality, and other project functions to obtain the technical, commercial, cost, and schedule inputs required to support Variation submissions. Monitor Variation milestones and contractual response periods, ensuring compliance with contractual notice and submission requirements. Coordinate the preparation, review, and consolidation of supporting documentation, including entitlement, assumptions, cost estimates, schedule impacts, and technical justification, expediting inputs as required from multiple functional teams. Maintain the project's Variation register and reporting tools, ensuring accurate tracking of status, approvals, values, and key commercial metrics. Support the Contract Lead and Contract Administrator - Variations in the preparation of commercial strategies, negotiation material, executive briefings, and management reports. Review contractual documentation to ensure Variation submissions align with the requirements of the Project Agreement, Construction Contract, and other applicable project documents. Identify commercial risks, dependencies, and potential impacts associated with proposed changes and escalate issues where appropriate. Facilitate multidisciplinary review meetings to progress Variation development and resolve outstanding actions. Assist in the preparation and maintenance of commercial records to support future negotiations, audits, dispute resolution, and claims, where required. Produce regular reports and dashboards summarizing Variation status, key risks, ageing items, and commercial performance for project leadership. Support continuous improvement initiatives by developing and maintaining standardized templates, procedures, guidance documents, and reporting tools for Variation management. Ensure all Variation records are maintained in accordance with project document control requirements and contractual obligations.
What We Are Looking For? Bachelor's degree in Engineering, Construction Management, Quantity Surveying, Commerce, Business Administration, Law, or a related discipline. Minimum of 5-years of experience in construction project coordination, project controls (estimate/cost and schedule), risk management, quantity survey, or a specialized position supporting or managing the change management process Sound understanding of Project Controls or Change Management requirements on major projects within the construction industry Claims experience in substantiating cost and schedule impact on major projects of a complex nature Demonstrated experience coordinating contractual Variations, Change Orders, Compensation Events, or similar commercial processes. Working knowledge of construction contracts, contract administration principles, and change management processes. Experience working on large-scale infrastructure, transit, transportation, or capital projects; experience within a P3/PPP environment is considered an asset. Strong understanding of cost estimating principles and the ability to review commercial assumptions, cost breakdowns, and supporting substantiation. Familiarity with project scheduling principles and the ability to interpret schedule impacts associated with Variations is considered an asset. Excellent written and verbal communication skills, with the ability to prepare professional contractual correspondence, reports, and commercial documentation. Strong organizational and time management skills with the ability to manage multiple concurrent priorities while meeting contractual deadlines. Demonstrated ability to coordinate multidisciplinary stakeholders, including Construction, Design, Project Controls, Estimating, Procurement, and Commercial teams. Proficiency in Microsoft Office Suite, particularly Excel, Word, PowerPoint, and Outlook. Experience using project management and document control systems such as Aconex, Unifier, Procore, EcoSys, Primavera P6, SAP, or similar platforms is considered an asset. Ability to work independently while contributing effectively within a collaborative project environment. Professional certifications or progress toward designation (e.g., P.Eng., PQS, PMP, CCP, MRICS, CIArb) are considered an asset but are not required. Demonstrated commitment to integrity, professionalism, and maintaining confidentiality when handling commercially sensitive information.
