Job Title: Office Administrator – North American Rail Products
Location: Argyle, MB
Employment Type: Full time
Job Summary:
Reporting to the Operations Coordinator, the Office Administrator is a key role supporting the daily administrative operations of a fast-paced manufacturing shop. This position requires a highly organized and detailed individual to ensure smooth office functions, accurate financial record keeping and timely support to various departments.
Key Responsibilities:
- Supporting the payroll process by gathering and verifying employee time records and submitting date to payroll entry systems
- Entering receipts, statements and other financial documents into accounting systems with accuracy and timeliness
- Assist with invoice processing, vendor communications and reconciliation of accounts payable records
- Monitor inventory levels of office supplies and sundries, place orders and maintain organized storage
- Create and manage purchase orders and order entries into CMIC software, ensuring accuracy and compliance with company procedures
- Maintain organized filing systems (digital and physical) for financial and administrative records
- Provide support to management and shop staff as needed, including scheduling, communications and coordination of office activities
- Perform additional duties as needed
Qualifications and Skills:
- Strong attention to detail and accuracy in administrative tasks
- Proven experience in office administration, preferably in a manufacturing or industrial setting
- Familiarity with CMIC or similar ERP systems is an asset
- Basic understanding of payroll and accounting principles
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent attention to detail and problem-solving abilities
- Ability to work independently and as part of a team in a fast-paced environment
Job Requirement:
- Completion of Grade 12 or equivalent is required
- Diploma or Certificate in Office Administration or Business administration is preferred
- Reliable transportation is required
Work Environment:
- Collaborative and inclusive team culture
- Office located in a busy manufacturing environment
- May require interaction with shop floor personnel
- Sitting for long periods
- Standard office hours
