Job Title: Office Administrator – North American Rail Products

Location: Argyle, MB

Employment Type: Full time

Job Summary:
Reporting to the Operations Coordinator, the Office Administrator is a key role supporting the daily administrative operations of a fast-paced manufacturing shop. This position requires a highly organized and detailed individual to ensure smooth office functions, accurate financial record keeping and timely support to various departments.

Key Responsibilities:

  • Supporting the payroll process by gathering and verifying employee time records and submitting date to payroll entry systems
  • Entering receipts, statements and other financial documents into accounting systems with accuracy and timeliness
  • Assist with invoice processing, vendor communications and reconciliation of accounts payable records
  • Monitor inventory levels of office supplies and sundries, place orders and maintain organized storage
  • Create and manage purchase orders and order entries into CMIC software, ensuring accuracy and compliance with company procedures
  • Maintain organized filing systems (digital and physical) for financial and administrative records
  • Provide support to management and shop staff as needed, including scheduling, communications and coordination of office activities
  • Perform additional duties as needed

Qualifications and Skills:

  • Strong attention to detail and accuracy in administrative tasks
  • Proven experience in office administration, preferably in a manufacturing or industrial setting
  • Familiarity with CMIC or similar ERP systems is an asset
  • Basic understanding of payroll and accounting principles
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent attention to detail and problem-solving abilities
  • Ability to work independently and as part of a team in a fast-paced environment

Job Requirement:

  • Completion of Grade 12 or equivalent is required
  • Diploma or Certificate in Office Administration or Business administration is preferred
  • Reliable transportation is required
