This position has a term length of 18 months and offers a comprehensive benefits package.
Location - This role is hybrid with a mix of remote and in-person work at North Campus Edmonton.
The Medical Education Program Administrator (MEPA) develops, coordinates, maintains, and supports the medical education administrative activities within the Hematological Pathology program, in the department of Laboratory Medicine & Pathology. They will support residency training, undergraduate medical learners, as well as clinical fellows. The position works both independently and within a team structure to administer many detailed complex tasks and projects.
Under minimal supervision of the Academic Department Manager and Program Director, this position requires high levels of communication, organizational and interpersonal skills. Equally important and required, the individual in this position would have the ability to take initiative, decision making and proactivity skills, be creative, and thrive in a highly demanding and fast-paced demanding environment.

The position includes items including, but not limited to:

Program Coordination: course administration tasks such as ensuring rotation-specific objectives are current and distributed, coordinating resident registration and participation in meetings and courses; preparing and submitting program elective paperwork and leave of absence paperwork; maintaining resident files; formatting, updating and maintaining assessment information and curriculum maps

Scheduling: developing draft rotation schedules for residents and off-service residents, navigating schedule changes as needed, liaising with other medical education offices for rotations done by the program's residents in other areas, scheduling incoming postgrad electives and assignment of preceptors; notifying residents of rotation and block information every 4 weeks

Evaluation process: administers evaluations and manages resident meetings with Academic Advisors as needed, prepares master spreadsheet with EPA completion stats and other program requirements; notifies residents of exam deadlines and schedules; schedules and coordinates other resident examinations as needed

Attends and supports various committee meetings

Acts as a primary contact person for the Heme Path residency program: organizes orientations/onboarding materials for new residents, assists with resident recruitment (CaRMS process)

Education activities: schedules and coordinates academic half-day seminars, rounds, social functions and wellness activities

Assists with financial transactions, including purchases from program funding

Oversees nomination and voting process for resident awards and faculty teaching awards

Supports Competence By Design activities

Minimum, post-secondary business administration certificate. Postsecondary degree in a relevant discipline preferred. Equivalent combination of education and experience will be considered.

3-5 years experience in a medical and academic environment with extensive involvement in post-secondary educational procedures at an administrative level.

Computer proficiency in a Windows environment using MS Microsoft applications (Word, PowerPoint, Excel)

Familiar with Google Apps (Mail, Drive, Sites, Calendar, Meet), one45, DASH.med, cbme.med, Zoom and various virtual platforms an asset

Excellent editorial, and proofreading skills

Highly developed organizational and problem-solving skills

Excellent communication (oral and written) and interpersonal skills, experience taking minutes

Strong accuracy and attention to detail

Knowledge of University of Alberta and University of Alberta Hospital policies and procedures an asset

High level of tact and discretion; must be able to maintain absolute confidentiality
