#Admissions & Enrolment Clerk

Reporting to the Associate Registrar, Recruitment, Admissions & Enrolment, and working closely with the Enrolment Services Coordinator and Enrolment Officers, this position provides front-line service and administrative support to the Registrar’s Office. The role is responsible for triage and first‑point‑of‑contact assistance, basic application processing, registration support, and supporting data integrity within the Student Records System (SRS). The position plays a key role in maintaining accurate student records and supporting high‑volume registration periods, particularly for the Academic Upgrading department. Additional responsibilities include preparing student enrolment documents, data reporting, and project work related to record accuracy and process improvements. This position may provide backup assistance to both Enrolment Services and Financial Aid during peak periods or staff absences.

Main Duties and Responsibilities

  • Provide timely, accurate, and friendly front‑line service to students, staff, and the public in person, by phone, and through email, acting as the first point of contact for the Registrar’s Office.
  • Assess the nature and urgency of inquiries; triage and direct students to appropriate services, resources, or staff.
  • Explain general admissions, registration, tuition deadlines, processes, and common college policies in clear, student‑friendly language.
  • Assist students with navigating forms, documentation requirements and online services.
  • Prepare and distribute correspondence, reports, forms, and other documents as required.
  • Receive new applications and complete basic processing steps, including data entry and tracking.
  • Enter, update, and retrieve student information across electronic systems with high attention to detail.
  • Process student registrations, course adds/drops, and section changes in accordance with established procedures, with particular emphasis on supporting Academic Upgrading programs.
  • Provide clear guidance to students regarding registration steps, timelines, and common requirements.
  • Prepare standard enrolment‑related documents, such as acknowledgement letters and confirmation of enrolment letters, based on established templates and procedures.
  • Follow up with students regarding outstanding documentation, admission requirements and forms.
  • Support internal projects related to enrolment processes, documentation review, records updates, and service improvements.
  • Perform other related duties as assigned.

Skills, Knowledge, and Abilities

  • Strong customer service skills with the ability to communicate effectively and professionally in person, by phone, and in writing.
  • Excellent interpersonal and collaborative skills, with the ability to contribute to team efforts.
  • Demonstrated attention to accuracy, detail, and confidentiality in working with student information and institutional records.
  • Strong organizational skills with the ability to manage multiple tasks and set priorities when faced with competing demands.
  • Proficiency in Microsoft Office applications, including Word, Excel, SharePoint, and Teams.
  • Ability to apply established policies, procedures, and guidelines when processing student records and providing information.
  • Experience working in a Student Records System is strongly preferred.

Education and Experience

  • Completed high school plus a two-year Business Administration diploma, associate degree or equivalent related post-secondary program.
  • Minimum one and a half (1.5) years of related experience, including administrative processes in a post-secondary, customer service, or data entry environment.
  • Experience in admissions and enrollment is considered an asset.

This is a temporary, full-time (100%) position covering a leave, commencing April 27, 2026, and ending October 27, 2027, with the possibility of extension, or upon return of the incumbent. Salary will be Pay Grade 6, $30.76 per hour in accordance with the PPWC Collective Agreement.
