The Coordinator, Building Services is responsible for the smooth, consistent operation of two office locations and is a key contributor to creating a safe, reliable, and well-maintained work environment. The role manages day to day facility needs, completes hands on maintenance tasks, and supports both employees and contractors to keep the buildings functioning without interruption. This includes regular inspections, prompt response to service requests, coordination with external partners, and proactive attention to potential hazards or operational issues.

The Coordinator, Building Services helps ensure employees have functional workstations, safe access to the buildings, and a clean, organized space to work in. The position also plays an active role in health and safety by monitoring building conditions, participating in training, and supporting compliance requirements. This role requires strong judgement, steady follow through, and the ability to handle a mix of physical tasks, administrative tracking, and operational decision making across multiple priorities.

Duties & Responsibilities:

  • Serve as a backup point of contact for facility vendors, service contractors, and alarm reporting companies
  • Manage and complete building service tickets with timely follow up and accurate documentation
  • Set up workstations for new hires, support desk moves, and coordinate with IT on equipment placement
  • Install approved ergonomic equipment including monitor arms, sit stand desks, and keyboard trays
  • Conduct daily walkthrough inspections of both buildings, identify risks or deficiencies, and maintain detailed records
  • Maintain warehouse organization, correct hazards, and hold monthly check ins with warehouse users to confirm proper storage and form completion
  • Monitor and restock office supply levels, submit orders, and track inventory
  • Perform routine maintenance including minor plumbing repairs, wall patching, painting, filter changes, and general upkeep
  • Carry out seasonal tasks such as snow clearing, sanding, de-icing, and pressure washing of building entrances and patios
  • Conduct monthly roof inspections and monitor exterior conditions including parking lots and entry points
  • Maintain and program employee key fobs and support building access needs
  • Assist with internal event setup including furniture movement and equipment preparation
  • Participate in health and safety training, inspections, and related activities to support a safe work environment
  • Respond to occasional after-hours needs related to building issues or emergencies

Qualifications:

  • Valid Class 5 driver’s license and ability to travel between both office locations
  • Working knowledge of basic tools, trades, and general building maintenance
  • Strong problem-solving ability with a practical, hands-on approach
  • Solid organization and time management skills with the ability to manage competing priorities
  • Comfortable working independently while also supporting team-based tasks
  • Ability to work indoors and outdoors in varying conditions and operate various equipment
  • Proficient with basic computer functions including email, record keeping, and ticket systems
  • Reliable, safety minded, and willing to participate in additional training as needed
