The Opportunity We are seeking an Accounting & Project Administration Clerk to join the team. This role supports day-to-day accounting operations with a focus on project-based accounting, including invoicing, accounts receivable, accounts payable, and project financial reporting. This is a hands-on position where you will work closely with the accounting team to ensure financial data is complete, compliant, and accurately recorded. You will also play a key role in supporting project tracking and maintaining strong relationships with consultants and internal stakeholders.
This opportunity is ideal for someone who has strong accounting fundamentals, experience in project-based environments, and enjoys working in a detail-oriented, collaborative setting.
Key Responsibilities Prepare, review, and issue client invoices, ensuring accurate project billing through verification of labour, expenses, and contractual requirements Manage accounts receivable processes and support timely collection of outstanding balances Process consultant invoices, ensuring accuracy, proper approval, and correct project allocation Follow up with consultants regarding missing invoices, discrepancies, and payment status Prepare and run weekly cheque payments for consultants Maintain consultant records and track payments against contracts and project budgets Prepare monthly project revenue reports Support month-end close activities, including reconciliations and reporting Maintain organized and complete accounting records (digital and hard copy) Provide general accounting and administrative support as required
What You Bring Diploma or certificate in accounting, bookkeeping, or a related field 3+ years of accounting or bookkeeping experience Experience within an architectural, engineering, or construction environment is considered an asset Experience with Deltek Vision is an asset Proficiency with accounting software, Microsoft Excel, and Word Strong attention to detail with excellent organizational and time management skills Professional communication skills and the ability to handle confidential information with discretion
