Position Summary Administrative Assistant In this role, you provide collaborative support for daily activities of NYTHP Backbone Team across the partnership.

On a practical level, you will

  • Provides administrative and general office support to OHT Director and NYTHP Backbone Team.
  • Prepares, records, and distributes meeting minutes to support meetings.
  • Supports payroll processes from beginning to end including collecting time sheets, entering payroll into Kronos, notifying the Manager and Director to review and approve payroll, and supporting any corrections, if needed.
  • Orders team supplies as required, including office supplies and clinical supplies.
  • Performs filing, word-processing and general office duties for the NYTHP Backbone Team.
  • Supports reoccurring financial reconciliation related to corporate credit cards, honorariums/stipends, and invoicing.
  • Coordinates scheduling for key NYTHP Backbone staff including the OHT Director.
  • Manages various distribution databases to ensure they are up to date with the correct contact information.
  • Manages confidential information in a sensitive and professional manner.
  • Liaise effectively and professionally with all NYTHP Backbone staff, NYTHP partner organizations, and other external organizations.
  • Respond to information and/or document requests in a timely manner.
  • Supports with creating forms to collect information from external audiences through MS Forms and/or Customer Relationship Management tools such as HubSpot or equivalent.
  • Performs other duties as assigned.

Qualifications

  • High school diploma, post-secondary education or equivalent experience working in the health care sector or in a similar capacity.
  • Communication (verbal, written) and interpersonal skills.
  • Organization skills, time-management skills and attention to detail.
  • Ability to use standard office equipment including photocopiers, scanners, and fax machines.
  • Ability to work independently as well as in a team environment and take initiative.
  • Ability to deal with multiple pressures and conflicting priorities in a fast- paced environment.
  • Proficient in accurately taking minutes at meetings.
  • Proficiency with Microsoft Office, including Word, Excel, PowerPoint, Outlook, and Forms.

This is a Part Time Regular position, Days, 8-hour shifts, in the Ontario Health Team and Transformation Department. We offer a highly competitive total compensation package which includes pay in lieu of benefits, vacation pay and the opportunity to join the Hospital Pension Plan.
