The role

KPMB is seeking a highly organized and personable Administrative Assistant to join our team. This role is integral in ensuring that our office runs smoothly and efficiently by providing exceptional front desk and administrative support. The ideal candidate will demonstrate excellent communication and organization skills, along with the ability to manage multiple tasks simultaneously. The role demands a proactive, self-motivated individual who demonstrates initiative and a friendly demeanor.

The main focus of the role is to ensure that all visitors and calls receive a warm welcome. This role is also responsible for the coordination of shipping/receiving, office supply management and additional administrative tasks. On an occasional basis you will assist in event coordination to support various company activities and initiatives, which may require working evening. Ultimately, you will contribute to the positive image of KPMB and the efficient operation of our office.

Select key responsibilities:

  • Greet and welcome visitors including clients, venders, candidates and industry stakeholders, managing inquiries and ensuring they are directed to the appropriate person or department.
  • Handling all incoming and outgoing mail and courier (shipping and receiving).
  • Responsible for daily office upkeep including the maintenance of office common areas (reception, mailroom, print rooms, employee lounge, and meeting rooms).
  • Assist in the coordination of meeting room bookings, room set up, catering, and cleanup.
  • Manage inventory coordination of office supplies, including communicating with vendors, suppliers, and service providers.
  • Assistance in event planning, organization, coordination, and cleanup.
  • Support other departments with administrative tasks when required.

Candidate Profile + Qualifications:

  • Minimum 1 year of work experience in a receptionist role, front office representative, or similar role
  • Previous experience in event coordination and planning is an asset
  • Excellent organizational and administrative skills
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams, etc.)
  • Proficiency in AV system troubleshooting is an asset
  • Excellent verbal and written communication skills
  • Ability to prioritize multiple tasks efficiently
  • Commitment to delivering outstanding customer service in a positive and professional manner
  • Ability to work well independently and as part of a collaborative team environment

Salary range: Compensation starts at an annualized base salary of $55,000.00.

Transportation and bike storage: A daily free shuttle bus between Union Station and KPMB’s office is provided for all staff who use the subway system or GO transit, from Monday to Thursday. Underground bicycle parking is also available.
