The Wilder Institute/Calgary Zoo is seeking a permanent part-time (30 hours/week) Catering AV & Tech Coordinator who will help to ensure that events and catered functions have the technical equipment ready for them to use.
This role is crucial for ensuring the flawless execution of all audiovisual and event setup requirements across our catering venues. The Coordinator will be responsible for the end-to-end management of AV equipment, from coordinating client needs and meticulous setup to on-site troubleshooting and maintenance. Additionally, this role plays a key part in the physical readiness of event spaces, ensuring layouts, decor, and overall presentation align perfectly with event plans. The ideal candidate will possess strong technical AV expertise, excellent communication skills, and a keen eye for detail, contributing directly to an elevated and memorable experience for our clients and guests.

What you will do:
- Coordinate with sales and event managers to understand audiovisual (AV) requirements for each event.
- Act as the primary technical contact for clients during events
- Transport, set up, and dismantle a wide range of AV equipment, including projectors, screens, LED displays, sound systems (speakers, mixers, microphones), lighting fixtures, and presentation tools (e.g., clickers, laptops).
- Perform pre-event checks to ensure all AV equipment is functioning correctly and is properly integrated.
- Provide basic AV support during events as needed, troubleshooting minor issues quickly and efficiently.
- Ensure all cabling is neatly managed, safely laid out, and aesthetically pleasing.
- Conduct AV training for Banquet Captains/Staff Members
- Collaborate with external AV vendors to align with AV services when required.
- Work with the IT team for all equipment needs and replacements.
- Give detailed attention to every aspect of the setup, from cable neatness to proper microphone placement and lighting angles.
- Communicate professionally and clearly with clients, catering staff, vendors, and internal teams including explaining technical concepts to non-technical individuals.
- Other duties as assigned.
What you will bring:
- At least 1 years’ experience with technical AV coordination; including setting up, operating, and troubleshooting common AV equipment: projectors, screens, LED displays, speakers, amplifiers, mixing consoles (digital and analog), wired and wireless microphones, lighting fixtures (basic event lighting), video switchers, cameras, and presentation laptops.
- A valid driver's license to operate on site vehicles.
- A valid Proserve is required for this position
- Familiarity with common AV connectors (XLR, 1/4", Speakon, HDMI, DVI, VGA, etc.) and proper cabling techniques.
- Understanding of signal flow for both audio and video.
- Ability to quickly diagnose and resolve common AV issues (e.g., no sound, no picture, feedback, connectivity problems).
- Knowledge of routine cleaning, testing, and care for AV equipment to ensure longevity and reliable performance.
- Ability to read and interpret event floor plans, technical riders, and Banquet Event Orders (BEOs) to determine AV and setup needs.
- Experience in planning equipment placement, power distribution, and cable management for a clean and safe event space.
- Experience in overseeing setup crews (even if it's just a few casual staff) and ensuring all elements of the event space are ready to specification (tables, chairs, linens, decor, AV, etc.).
Working Conditions:
- Working hours can include mornings, afternoons, or evenings as needed, adapting to event schedules.
- Responsibilities will span both indoor and outdoor event spaces, requiring adaptability to different environments and weather conditions.
- The specialist will be responsible for managing AV and setup requirements across multiple catering venues on any given day, necessitating efficient travel and coordination
The Wilder Institute/Calgary Zoo is an outdoor facility and all staff working at the zoo must be comfortable working in a large variety of outdoor conditions. The Wilder Institute/Calgary Zoo follows the advice of Environment Canada when responding to temperature and air quality issues.
