Position Overview The Operations Administrator serves as a central support resource across multiple areas of the business, including accounting, human resources, operations, ticket management, and leadership support. This role is ideal for someone who enjoys variety in their day, can manage multiple priorities simultaneously, and takes pride in ensuring important tasks don't fall through the cracks. Success in this role requires strong organizational skills, resourcefulness, attention to detail, professional communication, and the ability to work independently.
Duties and Responsibilities
Accounting / Finance Liaison Serve as the primary point of contact for accounting-related inquiries including payment options and collections. Monitor the accounting area within our PSA daily and assign tickets as required. Ensure the outsourced accounting firm receives all vendor invoices and supporting documentation. Credit card receipt collection for company purchases. Cross-check accounting records against established checklists to ensure supplier invoices are not missed. Track recurring subscriptions, vendor contracts, and software renewals to prevent unexpected renewals or service interruptions. Send client statements and follow up on outstanding balances and collections. Act as the liaison between B4 Networks and the outsourced accounting firm by answering questions, gathering information, and following up on outstanding requests. Process client credit card payments in emergency situations only. Initiate the Do Not Service process when client accounts reach established payment thresholds.
Human Resources Support Schedule and coordinate interviews. Coordinate new hire onboarding logistics, including workspace preparation, paperwork, and schedule coordination. Maintain employee records and time-off tracking. Assist with HR administration and employee documentation. Coordinate team celebrations, birthdays, and work anniversaries.
General Administrative Support Schedule meetings and coordinate calendars for the leadership team. Enter and maintain weekly, monthly, and quarterly KPI reporting. Coordinate travel arrangements and related logistics. Order office supplies and equipment. Take meeting notes and distribute minutes and action items. Maintain organized shared files, folders, and documentation. Draft, edit, and format routine business documents and correspondence.
Office Support Run occasional business-related errands. Maintain office inventory and supplies. Coordinate catered lunches and office events. Help ensure the office remains organized, welcoming, and operational. Collect and track dress down day funds from staff.
Ticket Management Monitor service tickets across departments to ensure progress is being made. Identify tickets that may be stalled or at risk of being overlooked. Escalate concerns and follow up with team members when necessary. Assist in maintaining accountability around ticket progression and client responsiveness.
Requirements and Skills Proven experience in an administrative, office management, operations, or coordinator role. Strong organizational and time-management skills. Ability to work independently with minimal supervision. Demonstrated resourcefulness and problem-solving ability. Ability to manage multiple priorities in a fast-paced environment. Excellent verbal and written communication skills. Strong attention to detail and follow-through. Professionalism, discretion, and confidentiality. Proficiency with Microsoft 365 applications. Comfortable learning and working within multiple software platforms. Experience with accounting, HR administration, or operational support is considered an asset. Ability to be comfortable with having uncomfortable conversations with clients when their account is in arrears. High School degree: additional qualification as working with an executive team or a College degree would be considered an advantage.
