Reporting to the Supervisor, Billing, the Collections Administrator is responsible for overseeing the day-to-day service fee receivable collections of the Company. Major components of the position include the implementation of collection policies, the assignment of functions and the implementation of changes to improve the overall service level of the billing department, review status of delinquent accounts and initiation of appropriate collection processes. Assessing and improving overall collection performance is expected – both current and long term, to meet company objectives.
Responsibilities Include
- Review status of delinquent accounts and initiate collection action by contacting each account and take appropriate actions.
- Notify customers of delinquent accounts according to due dates. Issue past due statements monthly in accordance with company policy, issue late notice letters to customers who are not current, monitor results, and follow-up with customers as necessary;
- Initiate appropriate follow-up action on mail returned as undeliverable;
- Research disputed delinquent account balances. Notifies Supervisor of any errors, including misapplied payments, reversed late charges, direct deposit errors, and overpayments from insurance errors;
- Prepare recommendations for account referrals to external collection agencies for severely delinquent accounts in accordance with company policy;
- Practice supportive communication techniques such as active and empathetic listening, excel in effective decision making, involves others in decision making when appropriate.
- Demonstrate superior conflict resolution skills: balances assertiveness and sensitivity to achieve a successful outcome.
- Provide relief for sick/vacation time for receptionist.
Professional Qualifications & Competencies
- Minimum Grade 12 diploma. Business degree or diploma from a post-secondary institution is preferred.
- Data entry.
- Billing/Accounting.
- Thorough working knowledge of computer programs such as Microsoft office and computerized accounting software.
- Effective oral and written communications.
- Possess interpersonal skills in dealing with individuals and teams.
- Proven and effective customer service telephone skills.
- Ability to learn quickly and effectively use various computer billing and reporting systems.
- Strong analytical and organizational skills
- Knowledge and/or expertise in finance and accounting preferred.
- Ability to maintain confidential records and information.
- Leads by example and practices good time management.
