About the role
Reporting to the Branch Manager, the Branch Administrator will provide
administration and support for the branch and oversee daily office operations. This is an in-office position.
Key Position Functions
- Coordinate and maintain all records for vehicles, including inspections, insurance, maintenance, and statements within vehicle tracking software.
- Assist in organizing record keeping of daily logbooks/inspections and reports by service technicians.
- Assist and/or manage the onboarding and maintenance for customer site entry access for all Service Technicians.
- Maintain safety records and ensure related training is recorded appropriately.
- Enter and confirm time keeping within the payroll system accurately and work closely with payroll department for time processing requirements.
- Assist with service orders and Customer Property charge backs as required.
- Ensure proof of delivery and complete all sales orders within the ERP system and required Invoicing processes with the accounts receivable department.
- Assist with the creation of sales orders from Field FX to invoice completion.
- Receive incoming goods as required.
- Create Branch purchase orders for daily Branch expenses while maintaining accuracy with GL allocation for Branch.
- Reconcile fuel receipts and Branch purchase orders for payables.
- Actively involved in reviewing current systems and process improvement.
- Answer incoming calls to the facilities and direct as required.
- All related filing and record keeping within the facility and associated ERP systems.
- Perform other related duties as required.
Preferred candidates will possess a combination of the following
- High School diploma, supplemented by an Office Administration Diploma.
- 3 to 5 years office/business administration experience.
- Invoicing and reconciling experience preferred.
- Basic Wellhead product knowledge preferred.
- Computer proficiency using MS Office applications (Word, Excel, PowerPoint, Access, Outlook); knowledge of SAP software.
- Strong communication (oral and written), interpersonal, organizational and time management skills.
- Ability to work effectively in a team and independently environment.
- Accuracy and attention to detail.
