Administrative Assistant, Community Addiction Services

As an Administrative Assistant, you will be an integral part of a collaborative, inter-disciplinary team focused on delivering seamless services and programs to our clients and customers. Hours of Work: 35 hours per week. Inclusive of potential evening and weekend shift as required.
What you'll be doing:
- Schedule of meetings and appointments
- Reception duties, take voicemails, and ensuring messages are communicated
- and documented
- Circulate minutes/memos/letters/correspondence for team members
- Coordinate & prepare for meetings (room bookings, catering requests, set up
- materials needed, create agenda items, record and distribute minutes
- Create, record, update, and print various daily, monthly, quarterly, and yearly reports
- Complete and update group/project lists, team members lists, FANOUT lists, and nominal lists
- Arrange for signatures on confidential documents and manage confidential information
- Scan confidential documents to client files
- Prepare presentation
- Daily timekeeping in Kronos
- Participate in Health & Safety inspections
- Process monthly expense reports
- Clinical flow specialist administrative duties
- Coverage of other programs within HHC as required
- Work within multiple electronic documentation platforms
What we're looking for:
- Post-secondary education in a relevant field
- 3 years’ experience in an administrative support role, with the knowledge, experience, and confidence to work independently
- Excellent Microsoft Office suite skills with demonstrated ability to produce
- Creative PowerPoint presentations
- Excellent written and verbal communication skills
- Strong problem solving skills
- Diplomatic, analytical, and detail oriented
- Great work ethic, and commitment to excellence
- Team player with a positive outlook, and a good sense of humour
