About the role

This position has a term length of 2 years.

Location - After 6 months of employment, this role can transition to hybrid work with a mix of in-person and remote (maximum 2 days per week). Work primarily takes place at North Campus, Edmonton.

GROW North is a two-year faculty development program developed collaboratively between the Department of Family Medicine and the Office of Rural and Regional Health that provides specialized research training to rural family physicians in central/northern Alberta and the Territories. Year 1 of the program includes a mix of 6 in-person and virtual educational sessions. Year 2 involves participants working on a self-directed research project supported by the program. The program aims to enable physicians to overcome geographic barriers, pursue community-relevant research, and leverage their local expertise to drive meaningful change and make meaningful contributions to the wider field of medical scholarship.

The GROW North Program Coordinator works independently (within a team structure) to administer the program under minimal supervision and coordinates the day-to-day planning, implementation and delivery of the program and its curriculum. The position acts as the lead contact for education-related program matters including content design, evaluation, overall troubleshooting, and maintaining program documentation. Examples of content development may include presentations, handouts, and evaluation questions. The coordinator acts as the main contact for program participants and research mentors, and coordinates the evaluation process. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively.

  • Works independently (within a team structure) in the day-to-day administration of the program in achieving its objectives.

  • Engages in strategic visioning to enhance the delivery of the program.

  • Identifies resources for main program and mentor training content. Supports the development of the GROW North Program curriculum and the training program for research mentors.

  • Co-facilitates the delivery of educational sessions where more than one facilitator is needed (e.g., Triple P feedback).

  • Is the main program contact for participants; answers and/or directs participants’ questions.

  • Independently prepares and supports completion of MainPro accreditation applications of the College of Family Physicians of Canada. Is responsible for monitoring and reporting participants’ compliance with accreditation requirements.

  • Leads and is responsible for designing the GROW North curriculum in Canvas, the University of Alberta’s learning management system.

  • Leads documentation, follow-up, and tracking of program participants’ progress (e.g., develops and maintains a participant progress checklist, contacts participants on a regular basis, reports issues to core team).

  • Works with the core team of academic faculty members in the development of an evaluation process for the overall program, including the mentor component (e.g., pre-post knowledge and attitude tests, learner evaluations, etc.).

  • Collaborates with the subject matter experts on the development of learning resources to meet the learning needs of program participants.

  • Provides regular progress reports to the core team using management tools to track, manage and communicate progress on all aspects of the program.

  • Monitors and identifies possible funding opportunities for the program and participant projects.

  • Prepares first drafts of program funding applications and impact and outcome reports.

  • Supports participant research projects and scholarly activities. This may include, but is not limited to: supporting submissions to funders, research ethics boards and/or operational approval boards; the development of consent form templates, questionnaires and data collection forms; study participant recruitment; and knowledge translation or mobilization activities.

  • Supports and trains junior research staff working on participant research projects, as needed.

  • Compiles program evaluation results and written summaries of the results for diverse audiences.

  • Establishes and maintains excellent communication, positive rapport and effective working relationships with the implementation team, program participants, program mentors, instructors, and relevant interest groups within and outside the Department of Family Medicine and the University of Alberta.

  • Monitors and identifies knowledge exchange and transfer opportunities for the program and participant projects.

  • Leads or supports knowledge dissemination activities, including preparing manuscripts, reports, and oral presentations for diverse audiences. Develops high-quality briefing materials and presentations, including PowerPoint decks, for senior leadership and external stakeholders.

  • Schedules and attends team meetings, prepares agenda and records minutes.

  • Is responsible for planning and executing the operational logistics of program delivery (e.g., meeting room bookings, booking travel and accommodations for participants, facilitating expense reimbursements, catering, etc.).

  • Exercises judgement in prioritizing work and managing competing deadlines with minimal supervision.

  • Other related duties, as may be required, to support program objectives and delivery.

  • Bachelor’s degree in a health, education, or related discipline required. Equivalent combinations of education and experience will be considered. Master’s degree preferred.

  • Proven experience in educational program management, including planning and execution; 2-4 years of administrative experience with educational program delivery.

  • Research experience in the health sciences.

  • Knowledge of quantitative and qualitative research methods, practice quality improvement, and program evaluation is an asset.

  • Project management experience preferred.

  • Excellent verbal and written communication skills.

  • Exceptional organizational skills and ability to multi-task and address multiple simultaneous priorities in an effective, efficient manner.

  • Computer proficiency in Word, PowerPoint, Excel are required. Experience with Canvas is an asset.

  • Familiarity with rural family practice and/or rural living is an asset.
