What we offer

As the Executive Assistant to the CEO, you will play a pivotal role in providing administrative support and coordination. You will serve as a trusted advisor, principal aide, administrative expert, project manager, and partner. This role requires a unique blend of strategic thinking and operational expertise along with a proactive and highly organized approach. The Executive Assistant must bring a passion for excellence, superior organizational skills, strong technical aptitude, and a drive to exceed expectations. The ideal candidate is a perceptive critical thinker with the ability to connect dots and to act decisively and proactively with superior judgment and integrity.

What you’ll do

  • CEO Support
    • Perform a wide range of administrative duties including calendar management, prioritizing requests while avoiding conflicts, and ensuring smooth day-to-day engagements
    • Oversee all incoming and outgoing communications, including emails, reports, and internal correspondence
    • Provide briefings and serve as the primary point of contact for internal and external contacts, keeping the CEO updated; anticipate the CEO’s needs in advance of meetings
    • Coordination on behalf of the CEO such as travel arrangements, scheduling, expenses, etc.
    • Complete minutes, to-do lists and follow up to ensure tasks are completed on schedule
    • Act as a representative and liaison for the CEO where required
    • Work closely with CEO and stakeholders to ensure coordination and scheduling of upcoming commitments and calendar management and EA/PA activities.
  • Events
    • Lead coordination of special events as assigned by CEO (Annual Conferences, Offsite Meetings, Site Tours, Employee Townhalls, Special events, etc.) including venues, meeting rooms, equipment, catering, and/or ad hoc special requests
    • Creating/editing/formatting /printing/distributing documents, organizing materials (Budgets, Presentations, etc.)
    • Research on various specific topics as required
    • Liaison with Parent Company/Corporate/Divisional Offices including HR and IT as required
  • Build highly effective relationships with internal/external stakeholders and help resolve day-to-day priorities and executive issues
  • Proactively identify complex issues that need to be highlighted, screened/prioritized, shared, assigned and/or monitored; independently address issues on behalf of the CEO where possible
  • Drive development of SMT meeting agendas and content in collaboration with key stakeholders
  • Manage/own preparations for external engagements with various organizations/groups
  • Assist the CEO in all aspects of day-to-day activities to maximize efficiency, including through the use of innovative technology
  • Support special projects and other duties as required

What y****ou b****ring

  • Bachelor’s degree in business, administration, or related field required
  • Must have 7+ years of relevant, progressive work experience; strong prior experience as an EA supporting C-Suite executives in a fast-paced, corporate environment is a must
  • Ability to demonstrate a high degree of resourcefulness, initiative, judgement, and problem-solving skills in fast-paced and complex settings
  • Experience with a broad range of internal and external stakeholders including board members, senior leaders, and staff, as well as politicians and other high-profile stakeholders
  • Exceptional written and verbal communication skills across a variety of platforms and technologies; ability to draft correspondence that is clear, concise, and grammatically correct
  • Experience developing presentation decks, copywriting, proofreading, and editing
  • Impeccable detail-orientation, follow-up, time management, and multi-tasking skills
  • Experienced managing highly confidential information with professionalism, humility, discernment, and integrity
  • Exceptional professionalism, with the poise and presence to work with C-Suite executives, Board Members, and high-profile external stakeholders
  • Technically savvy, with expert knowledge of Excel and MS Office Suite; aptitude and desire to stay on the cutting edge of and implement emerging technologies, including but not limited to AI
  • Project and budget management experience
  • Flexibility to travel and work according to the CEO’s schedule; comfortable with last-minute travel as necessary
