Context:

As a Proposal Coordinator, you will join our talented team within SYSTRA Canada's Business Development department as well as the Project Team and report to the Proposal Manager. You will be responsible for the development of “Transportation” tenders across Canada, from the identification of the customer's needs to the signing and implementation of the contract, in collaboration with our three business units.

Missions/Main Duties:

  • Support the Proposal Lead, Proposal Manager and Project Team in proposal meetings and facilitate overall proposal coordination activities,
  • Develop proposal document outlines, draft standard content, format documents, and manage final assembly and submission,
  • Facilitate internal reviews and ensure compliance with proposal requirements by providing a layer of quality control,
  • Coordinate technical inputs and update content accordingly,
  • Track progress against the proposal schedule and follow up with contributors to ensure deadlines are met,
  • Manage and maintain proposal files and databases using appropriate information management systems/tools (e.g. SharePoint),
  • Collaborate with graphics to develop tailored visual content, Support post-submission activities, including clarifications and additional documentation,
  • Maintain and update libraries of supporting materials

Profile/Skills:

Training: Engineering or business training.

Number of years' experience: At least 3-5 years in the transport sectors and/or in an intellectual services company.

Personal qualities :

  • Diploma or Degree in Business, Communications, Marketing, or equivalent experience,
  • Exceptional writing skills with a keen eye for grammar, clarity, and consistency in editing and proofreading,
  • Excellent organizational and time management skills, High attention to detail and a strong commitment to quality,
  • Proven ability to work under pressure and manage multiple deadlines,
  • Collaborative mindset and ability to thrive in a team environment, Advanced proficiency in Microsoft Office suite, Familiarity with SharePoint, Adobe Create Cloud (InDesign, Photoshop, and Illustrator), Working knowledge of the engineering, procurement, and construction management consulting industry (highly desirable)
  • Leadership and results: Strong results orientation with proven ability to lead strategic projects independently.
  • Rigor, precision and organization: Highly rigorous and organized to manage complex schedules and technical details.
  • Strategic vision: Ability to analyze and synthesize, with a strategic vision and the ability to formalize effective action plans.
  • Versatility and adaptability: Good team spirit and ability to work in a multicultural environment to manage complex projects in short periods.
