General Description Our priority is to make sure we hire professional Office Administrator that cares about the safety of our drivers and the service provided to the community. This multi-faceted role combines administrative skills with creativity and cultural leadership. The ideal candidate will be responsible for managing day-to-day office operations, coordinating internal events, maintaining accurate data records, and serving as a culture ambassador to foster a positive and inclusive workplace environment.

As an Office Administrator with us, your key responsibilities will include:

  • Process and reconcile Accounts Payable functions, including invoice entry and payment, vendor communications, statement reviews, and maintaining accurate, audit‑ready financial records.
  • Support daily dispatch duties, updating Operations leaders, and making necessary updates as required
  • Provide frontline customer service, responding to phone and email inquiries, documenting cases, managing follow-ups, and resolving issues with professionalism and clarity.
  • Maintain organized digital records across operational platforms, performing data entry, validating system-generated information, and ensuring compliance with internal standards.
  • Collaborate with cross-functional teams to support efficient operations, share updates, and drive continuous improvement in AP, dispatch, and customer service processes.
  • Escalate exceptions (pricing variances, duplicate invoices, incomplete documentation) and drive timely resolution.
  • Promote and uphold safety as the organization’s core value through daily practices and communications.
  • Generate, verify, and distribute operational reports using internal platforms.
  • Collaborate with department leaders to implement process improvements and support operational efficiency.

What We Need From Our Administrative Assistant

  • Proven experience in office administration, accounts payable, and dispatch
  • 2 years of experience in Customer Service or relevant operations experience
  • Strong organizational and multitasking skills with attention to detail in a fast-paced setting.
  • Experience with Microsoft Word, Excel, and Outlook.
  • Excellent verbal and written communication skills.
  • Must be able to pass all pre-employment requirements
